The Documentation Officer (Tea Warehouse) will serve as the point-of-contact for processing and verifying shipment documentation, tracking incoming freight and preparing packages for shipments.

Responsibilities

  • Collections of clients Loading instructions and Delivery orders from auction brokers or Private Releases.
  • Preparation of internal Loading instructions as guided by clients Instructions.
  • Sample and Sampling operations as guided by eatta rules and regulations.
  • Send and updating Tea Arrival Advice to Clients and Brokers upon tea receipts as per Eatta requirement.
  • Custodian of all warehouse documents and filing.e.g Sample Request, Overtime Request, Shippping Instructions e.t.c
  • Conduct in any physical stock taking as directed by the warehouse supervisor or any other management within the Organization.
  • Overtime Data collection on transport for invoicing.
  • Data capture on Material Usage e.g pallets, straps, Fumigation, Piece rate labor , gunny bags, Poly bags e.t,c. for invoicing  to clients.
  • Coordinator of health and safety team as guided by Organization health and safety Team policy.

Requirements

  • Should have a minimum of 3 years relevant working experience in a similar industry
  • Strong experience in the ‘tea’ market is required.
  • Certificate in East Africa freight forwarding practicing Certificate from KESRA.
  • Proficient in ERP system and integrated stock management system.
  • Analytical and problem-solving skills.
  • Excellent communication skills and time management skills.
  • Ability to network and negotiate.
  • Good Microsoft Office skills.
