Operations Manager Job in Kenya

Our client, a well-known company in the logistics industry in Kenya is looking for an experienced, results-oriented and energetic individual for the following position:
 
Job Title: Operations Manager
 
Job Summary: The job holder shall be required to work in collaboration with all Ground Staff, Office Staff, other Operation Managers, the Finance Department and Management to achieve the set goals, as well as handle Mines and Project Shipment Clients, all Sea Imports & Exports, Mine Exports & Road Transport Movements.

Main Duties
  
The following duties and responsibilities are attributed to this position:
  • Develop qualified leads, then convert them through the sales process into prospects and customers
  • Continuously keep the sales pipeline full with customers
  • Identifying, developing and growing the sales revenue and marketing of the products and services
  • Present company services to customers always furthering relationships
  • Perform regular visits to qualified prospects and customers, in accordance with Management directives, to drive the business and grow the company’s revenue, market share and profitability
  • Building relationships at all levels and represents the company in a professional manner, including making presentations.
  • Conducting quarterly business reviews with clients
  • Submitting reports in an accurate and timely manner
  • Representing the Managing director as and when required
  • Ensuring Customer Service Level is of the highest quality as required and that there is effective problem solving at all times with a view of developing clients into long-term/permanent customers
  • Assisting and training staff, if necessary including all Asst. Sales Managers to prepare Quotes & customer presentations as & when required
  • Assist in negotiating rates and prices from all carriers &/or airlines
  • Supervise and if necessary accompany Asst. Sales Managers &/or Management during client visits, ensuring that minutes & reports are prepared and followed up to their conclusion till the client is secured by Sales
  • Ensure all Operations Master Files records and documents are kept in good order & in the right places within the office and are updated and stored accordingly
  • Verify the correctness of all purchase Invoices
  • Assist with and handle all operation duties of the other Operations Manager or his juniors during his or her absence or leave
  • Fully intervene as & when required when there are disputes or queries or mishandled or inappropriately performed by others or juniors during its clearance processes and ensure prompt positive results for both the Company and Customers
  • Perform high-level intervention whenever customer issues arise
  • Monitor & supervise all Transit & Transshipment Entries
  • Arrange daily Operations Meetings to discuss major issues
  • Address customer issues and ensure overall customer satisfaction
  • Supervise the Declarations Team and Bonds Officers
  • Manage the Operations Sector of the company’s Quality Management System (QMS)
  • Engage with the Management Representative regarding External Audit
  • Demonstrate unquestionable integrity and honesty in the execution of all duties, and work as a team with your fellow associates
  • Encourage teamwork and transparency within the department
  • Arrange for meetings with authorities when major issues need to be tackled and resolved
  • Ensure positive and effective liaison between Staff / Management and all external Authorities
  • Handle allocated Import Clients
  • Travel and visit clients as required (both locally and overseas), represent the company’s interest during meetings, seminars and conferences at any other offices globally whenever required
  • Assist the Managing Director on all company matters as requested
  • Assist in introducing, administering new procedures and/or systems to ensure effective running of Operations and thereby reducing costs to the company
  • Supervise all Operations and Ground Staff to achieve “OPERATIONS EXCELLENCE” at all times
  • Assist the sales team in the designing and implementation of realistic Standard Operating Procedures (SOPs) for key clients capturing requirements and entire clearance process, and ensure the same is adhered to by the relevant staff in line with the Company’s ISO quality guidelines
  • Liaise with government security forces as and when required for security services
  • Ensure status reports to clients are sent on time, accurate and in keeping with client requirements
  • Provide solutions to clients in collaboration with the sales team in an effort to provide the most cost effective and efficient method of moving clients’ cargo locally, regionally and internationally
  • Ensure proper classification, declaration and packing of all dangerous goods
  • Conduct objective annual appraisals
  • Plan and co-ordinate weekly shipments to their required locations
  • Any other duties that may be allocated from time to time by Management
Academic & Professional Qualifications 
  • Bachelor’s degree in Business, Accounting or Marketing or equivalent
Skills & Work Experience 
  • 3 – 5 years’ experience in Clearing & Forwarding operations and management with good knowledge in shipping documents and custom procedures
  • Proficiency in the Microsoft Office Suite of Packages (Word, Excel, PowerPoint etc.)
  • Fluent written and spoken English and Kiswahili
  • Excellent knowledge of the Customs and Excise HS Code and Explanatory notes and ability to handle Inspection Agents, Banks, regulatory bodies etc.
  • Ability to take initiative and responsibility
  • Confident, well spoken with excellent communication skills
  • Strong interpersonal, problem-solving, negotiation, planning and administration skills
  • Excellent organizational and communication skills(both written and verbal)
