Job Responsibilities & Priorities:
- Doing
bookings
- Making
flight quotations
- Giving
flight options to each destination
- Ensuring
clients are well briefed on any schedule changes or flight cancelations
- Flight
reservations
- Client
briefing on visa and health requirements.
- Ensure
each booking has been invoiced
- Ensure
all bookings are confirmed and re-confirmed
- Ensure
all bookings have ticket numbers
- Ensure
ticketing rules are followed.
- Ensure
all tickets are authorized for by the client. Any ticket sent to accounts
without an L.P.O or letter of authority by the clients will not be
invoiced.
- Ensure
going through the queue messages and advise clients on the status of
bookings
- Do
quotations to clients ensure they are properly typed/pasted and
call/chat all clients to ensure they have received their online quotations
- Ensure
the quotations are responded to immediately incase of delays then advice
the client the intention to do so.
- Treating
clients with passion since they are the business
- Seek
approval before issuing any credit
- Update
new and old clients profiles regularly
- Send
any cash paying clients to accounts office for receipting.
- Cancel
all cancelled tickets on the computer system, punch them and forward them
to accounts with the attached cancellation slip.
- Ensure
that we are updated on all current fares from the airlines.
- Ensure
discounts are kept within the regulated framework and seek approval if
necessary for clients especially walk ins who are not within our approved
levels of discount in our systems. Always seek approval on any discounts
to clients who won’t qualify such
- Ensure
all un-needed bookings are cancelled in the system to avoid no show
- Fees.
- Do
sales report and forward to the relevant accountant within 48hours from
the time of sale.
Qualifications
- Degree
or a diploma in Travel management
- Must
have IATA Qualifications
- Over
4 years experience as travel consultant in busy environment
- Ability
to use Galileo and E system.

Job description for a Tours Consultant
- Responding
to enquiries regarding hotels & safaris within 24hrs
- Create
and sell innovative tour packages to meet market demand
- Prepare
itineraries to the various destinations of interest
- Doing
research and producing periodical newsletters with current offers to be
sent out to clients
- Doing
tour bookings - both inbound and outbound
- Doing
regular check on the company website to ensure its up to date and running
smoothly
- Ensuring
KWS park rules & hotel regulations are made clear to tourists
- Ensuring
payment for each tour booking is received in advance or proper
authorization is received from a corporate prior to credit sale
- Creating
contact with hotels, car hire, sightseeing attraction and other service
providers for best competitive contract rates
- Ensuring
the rates files are orderly & up to date
- Ensure
bookings that do not mature are cancelled in time to avoid cancellation
penalties especially for hotels
- Arranging
to see vehicles (and if possible be accompanied by customer reps) before
start of service to ensure quality and minimize customer complains
- Briefing
drivers before they depart for safari
- Preparing
welcome pack for tourists before departure for safari
- Ensure
clients’ special requests especially on accommodation & room
specification, driver guide language, meals and others are pre-arranged.
(eg. ensuring families are booked rooms closer together & pork is not
served to Muslim guests etc.)
- Being
on standby ready to provide solutions in case of mishaps during safari
- Coordinating
with travel consultants to arrange flying & ground packages
- Opening
client tour files for upcoming tours especially groups
- Making
follow-ups for tour quotations
- Ensuring
that tours quotations are competitive
- inclusions,
exclusions as well as terms & conditions of a quotation should be
highlighted to reduce disputes with clients
- Making
sure vehicles (especially if hired from outside) have the company stickers
- Any
other duty as may be assigned from time to time.
Qualifications
- Degree
or a diploma in Tour operations or tourism management
- Over
four years experience as Tour consultant in a busy environment
- Ability
to use various tours/hotel booking systems.
