Administrative Assistant Job in Kenya

The Nairobi Waldorf School seeks to hire an Administrative Assistant to be based in Nairobi.

Role Purpose: Provide overall administrative support to the school; this includes provision of timely and accurate administrative support for teachers, and staff. 

S/he will provide maintain effective and timely communication with all stakeholders for the school to operate efficiently.


Duties & Responsibilities
  • Respond to telephone calls, take messages, greet visitors and prospective parents and direct them to the concerned staff members as required.
  • Develop and maintain the school’s teaching and learning materials inventory system
  • Maintain an updated database of all stakeholders contacts
  • Maintain a database of all parents contacts and ensure they are updated from time to time
  • Accurately type and process various documents as and when required
  • Keep a daily check on the e-mail that is sent to the office and respond to them as directed in a timely manner
  • Dispatch duties to varied staff members as and when required
  • Maintain a clean reception area at all times
  • Arrange transport for staff members and visiting mentors when dispatched on a work-related trip
  • Assist in the completion of pupils progress reports
  • Manage office requirement and make orders as and when required
  • Issue games kits, library books and class materials
  • Schedule meetings, prepare the agenda, take minutes at such meetings and circulate accordingly
  • Update the notice boards by posting and removal of outdated materials
  • Maintain an updated filing system, file correspondence, and retrieve information from active files or archives upon request
  • Maintain a School transport register and pupil’s transport schedule
  • Provide First Aid and arrange for hospital follow up or emergency evacuation if necessary
  • Keep track of leave schedule
  • Any other role as may be directed by the School Management
Qualifications
  • Bachelor’s degree in a Business related field will be an added advantage
  • Minimum Diploma in Business Administration or a business related field
  • Secretarial skills
  • Social Media savvy
  • A First Aid certificate is an advantage
  • At least 3 years continuous work experience in a similar position
  • Proficient in Microsoft Office
