Front Desk Officer Job in Kenya

Job Summary: 

We are a commercial and residential (serviced apartments) rental business. An opening has arisen for a Front Desk Officer. The individual selected for this role will be crucial in managing the front desk operations and will report directly to the Property Manager.

Key Responsibilities:

  • Welcoming Point of Contact: Greeting walk-in visitors and prospective clients warmly and professionally.
  • Telephone Queries: Handling incoming telephone calls, addressing inquiries, and providing accurate information.
  • Follow-Up Communication: Ensuring timely follow-up through letters, emails, or text messages.
  • Unit Information: Communicating details about available units, amenities, and rental terms.
  • Property Viewings: Scheduling property tours for interested clients.
  • Escalation: Promptly escalate any significant matters to relevant senior personnel.
  • Vendor Management: Coordinating with outsourced service providers.
  • Maintenance Calls: Scheduling maintenance visits as needed.
  • Tenant Relations: Building rapport with tenants to ensure they feel valued and appreciated.

  • Filing Systems: Maintaining organized filing systems for efficient data retrieval.
  • Goods Receipt: Receiving goods and verifying them against delivery notes.
  • Unit Readiness: Ensuring rented units are prepared and in good condition before tenants move in.
  • Inventory Management: Keeping clear inventory records in furnished units and addressing any losses.

Job Requirements:

  • Diploma: The candidate should hold a diploma.
  • Experience: At least two years of experience in a busy office environment.
  • Communication Skills: Above-average verbal and written communication skills.
  • Attention to Detail: A detail-oriented approach to tasks.
  • Organizational Skills: Strong organizational and time management abilities.
