Job Summary:
We
are a commercial and residential (serviced apartments) rental business. An
opening has arisen for a Front Desk
Officer. The individual selected for
this role will be crucial in managing the front desk operations and will report
directly to the Property Manager.
Key Responsibilities:
- Welcoming Point of Contact: Greeting walk-in visitors and prospective clients warmly
and professionally.
- Telephone Queries: Handling
incoming telephone calls, addressing inquiries, and providing accurate
information.
- Follow-Up Communication: Ensuring timely follow-up through letters, emails, or
text messages.
- Unit Information: Communicating
details about available units, amenities, and rental terms.
- Property Viewings: Scheduling
property tours for interested clients.
- Escalation: Promptly
escalate any significant matters to relevant senior personnel.
- Vendor Management: Coordinating
with outsourced service providers.
- Maintenance Calls: Scheduling
maintenance visits as needed.
- Tenant Relations: Building
rapport with tenants to ensure they feel valued and appreciated.
- Filing Systems: Maintaining
organized filing systems for efficient data retrieval.
- Goods Receipt: Receiving
goods and verifying them against delivery notes.
- Unit Readiness: Ensuring
rented units are prepared and in good condition before tenants move in.
- Inventory Management: Keeping
clear inventory records in furnished units and addressing any losses.
Job Requirements:
- Diploma: The
candidate should hold a diploma.
- Experience: At
least two years of experience in a busy office environment.
- Communication Skills: Above-average
verbal and written communication skills.
- Attention to Detail: A
detail-oriented approach to tasks.
- Organizational Skills: Strong
organizational and time management abilities.
