Job Purpose: This role is responsible for the development and implementation of a risk management strategy that ensures Toyota Kenya is proactive in the management of risk, for minimal risk exposure to Toyota Kenya.
Further, the position will work closely with the Legal Department to ensure compliance with legal, regulatory and policy issues.
Main Responsibilities of the Job
Managerial Responsibilities:
·         Develop a risk management strategy to advise the operations of the department in the provision of an operating business environment that is proactive in risk management, to support the achievement of the Toyota Kenya business strategy;
·         Develop and coordinate the maintenance of a Risk Management Framework for Toyota Kenya (Risk Governance Structure, Risk tools – Risk register, Compliance Register and incident report, Policies, Process, Business Continuity Planning and Crisis Management), to ensure the availability of a foundation from which to protect Toyota Kenya from preventable risks;
·         Create awareness on Risk Management to ensure the operations across all divisions in Toyota Kenya are managed from an informed point;
·         Liaise with service providers to ensure that an effective whistle blowing service is maintained
·         Develop the Budget for the Risk Management department to ensure the allocation of sufficient resources critical for the implementation of the risk management strategy;
·         Monitoring departmental expenditure to ensure efficiency in the utilisation of resources.
Operational Responsibilities:
·         Study proposed legislation to determine possible effect to the Toyota Kenya business, and to liaise with Legal Department and advise on best course of action;
·         Identify and nurture relationships with key officials from government and other institutions to persuade them to support legislation favourable to the Toyota Kenya business objectives;
·         Coordinate support to users in risk management to ensure the identification of accurate risks and the development of sound countermeasures,
·         Review key risk areas for each section to ensure gaps in risk management are identified and addressed in a timely manner;
·         Review and submit risk reports to management to ensure management is well informed of progress as well as challenges in risk management;
·         Coordinate financial and operational risk reviews to ensure the processes employed provide results that add value to the business in line with the Toyota Kenya key performance areas;
·         Direct investigations on business malpractice incidents (Security and fraud incidents) in liaison with the Security Department, and report on findings to ensure management is well informed on the incidents, in order for strategies to be developed and implemented to protect against recurrences.
·         Develop and implement Business Continuity Plans to limit risks and prepare for if things go wrong
·         Conducting audits of policy and compliance to standards and Group requirements including liaison with internal and external auditors
·         Enforcement of the Group’s Code of Ethics and Governance
Knowledge, Skills and Experience
Minimum level of academic and professional qualification required to perform effectively in the roles
·         Bachelor’s degree from a reputable institution
·         CPA (K)
·         A Law degree would be an added advantage

Job Title: ICT – Business Systems Administrator

Job Purpose: To ensure that the business systems are optimally utilised, roles adequately assigned and service desk tickets followed up to closure while giving first line technical support.
Key Responsibilities:
·         Accurately manage the Toyota and vendor Service desks. This covers from incident reporting, change request, escalation, complaint handling, resource assignment and incident closing to complain/feedback handling and reporting.
·         Coordinate the Super users of the various business systems across the Toyota group of companies supported by TTEA to efficiently offer first level support to the user base. Act as the link between the super users and the consulting firms that support the business systems.
·         Prepare the weekly service desk reports and monthly SLA service desk summary report to be used by the team for its operations and management reporting.
·         Carry out periodic meetings with the business users to ensure customer satisfaction.
·         Carry out user administration for AD, SAP, TALO, and Navision while keeping proper documentation (User creation/change management form) for each Group Company.
·         Manage the licencing for all business systems.
·         Periodically review the user list to remove any idle users.
·         Work with the risk department closely to review the user authorizations to ensure that the roles are properly segregated.
·         Offer first level support to business systems users within the group companies.
·         Offer Project Management Administrative support for business systems implementations.
·         Manage and keep track of the ICT procurement process starting from PR, PO, obtaining proof of service/material receipt, to recording, validating and processing all ICT invoices as per the
·         Delegation of Authority for payment. This should be done within minimum lead times.
·         Ensure timely payment of all recurrent bills (e.g. links, outsourced services etc.)
·         Ensure timely billing to /collection from group companies for services rendered.
·         Keep track of the Business Systems’ support contracts and ensure timely renewal for vendors who meet our performance levels.
·         Custodian of the vendor contact for both their business and technical contact persons.
·         Manage outsourced resources by ensuring that work delivered is as per requisition.
·         Offer technical support during periodic stocktake carried out by either Finance, Procurement or Parts teams.
·         Coordinate and help build the business systems budget for ICT.
·         Designing and executing annual development plans for super users for the various business systems across the Toyota Group of companies.
