The Kenya Institute for Public Policy Research and Analysis (KIPPRA) is a public policy research Institute established to develop human and institutional capacities by undertaking economic forecasting, policy analysis and research, and by contributing to the formulation of medium and long-term strategic perspectives for the economic and social development of Kenya. 

In carrying out this mandate, the Institute seeks to recruit a competent person to join its team of professionals to the following vacant position:

Assistant Publications Editor
 
Duties
  • Copy editing and proofreading research papers and reports before publication
  • Typesetting and layout of research papers and reports
  • Word processing, editing on screen and formatting internal and external reports of the Institute
  • Developing and uploading content on the website
  • Liaising with other in-house teams, writers, photographers, printers, designers and production staff to negotiate and monitor timescales for stages in the publishing process
  • Making follow up on editor’s comments to meet deadlines
  • Filing, photocopying and other routine administrative tasks related to publishing
  • Proofreading, editing and writing online content including via social media
Key Qualifications
  • Bachelor’s degree in Information Sciences, Communication, Publishing, or Journalism, with a bias in print publishing.
  • At least two (2) years experience in copy editing and proofreading of research publications in a busy publishing environment.
  • Proficiency in use of Microsoft Office and Adobe Creative Suite, plus any other desktop publishing software
  • Good understanding of design briefings, typesetting and printing specifications

Human Resource and Administration Assistant
 
Duties
  • Maintaining employee files and the Human Resource filing system;
  • Office reception and cleaning services;
  • Transportation and logistics;
  • Maintaining office inventories and vehicles;
  • Security and catering;
  • Maintaining and updating fixed assets register;
  • Monitoring insurance cover for equipments and property;
  • Assisting in developing annual administration budgets;
  • Tracking monthly telephone expenses;
Key Qualifications
  • Served for a minimum period of one (1) year in the field of Human Resource and Administration;
  • Bachelors degree in Human Resource Management/Development, Public/Business Administration, or their equivalent qualification from a recognized institution;
  • Proficiency in computer applications

Executive Secretary
 
Duties
  • Recording dictation in shorthand and transcribing it in typewritten form;
  • Typing from drafts, manuscripts or recording from dictation machines and processing data;
  • Operating office equipment and attending to visitors/clients
  • Handling telephone calls and appointments;
  • Ensuring security of office records, documents and equipment,
  • Effective management of office protocol and media issues.
  • Guiding and supervising other secretarial staff and handling other issues relating to Secretarial Cadre in the Institute.
Key Qualifications
 
(i) Served in the grade of Senior Secretary or any other relevant and comparable position for a minimum period of three (3) years;
 
(ii) 

(a) A Bachelors Degree in Secretarial Studies, Business and Office Management or equivalent qualifications from a recognized institution; OR 

(b) The following qualifications from the Kenya National Examinations Council:-
  • Shorthand III (minimum 120 w.p.m.).
  • Typewriting III (50 w.p.m.)/Computerized Document Processing III.
  • Business English III/Communications II.
  • Commerce II.
  • Office Management III/Office Administration and Management III.
  • Secretarial Duties II; OR
(c) A Diploma/Higher Diploma in Secretarial Studies from the Kenya National Examinations Council or equivalent qualifications from a recognized institution.

(iii) Attended a Secretarial Management Course from a recognized institution.

(iv) Certificate in Computer Applications (Windows, Ms-Word, Ms-Excel, Ms-Access and Internet) from a recognized institution; and

(v) Demonstrated professional competence in management of secretarial services.

Accountant

Duties
  • Maintaining an up to date books of accounts;
  • Preparing consolidated budgets of KIPPRA; coordinating responses to audit queries;
  • Processing KIPPRA payments and other disbursements;
  • Preparing monthly bank reconciliations, balance sheet and schedule;
  • Processing petty cash payments;
  • Processing statutory deductions and returns;
  • Filing and providing safe custody of all accountable documents; and
  • Ensuring compliance with established financial accounting and management systems.
Key Requirements for Appointment
  • Served for a minimum period of three (3) years as Assistant Accountant or equivalent relevant experience; OR
  • Bachelors Degree in Commerce (Finance/Accounting options) or any other relevant qualification from a recognized institution;
  • Attained ACCA/Certified Public Accountant Part II;
  • Experience in using computerized Accounting applications
  • Experience in the use of Public Financial Management Reporting Standards
