Finance Assistant

Location: Samburu, Homa Bay, Kenya

Supervisor:
 Program Manager & Finance Admin Manager

Job Summary:
 Responsible for the implementation of the finance and administration function within IMC Kenya

Essential Duties and Responsibilities:
  • Management of bank accounts, petty cash and disbursement of funds.
  • Co-ordinate banking activities including the deposit of funds and the withdrawals, liaise with the bank to ensure that the necessary documents are produced and availed to the office.
  • Daily data entry into the accounting system and submission of daily cash reports to Nairobi office.
  • Accounting for funds and preparing of monthly financial reports as per IMC regulations.
  • Ensure that financial controls and procedures are applied in all financial transactions as per IMC and donor regulations.
  • Update Nairobi office on developments in legal/administrative affairs that would affect the organization.
  • Day-to-day office administration, including following-up and ensuring utilities are paid (telephone, electricity etc.), managing office equipment i.e. photocopier, printers etc.) and providing administrative support to the day-to-day activities, i.e. organisation of meetings, organising accommodation for visiting staff, monitoring and maintaining stationery and office supplies
  • Participate in the monthly budgeting process for the program, ensuring proper administration of the office budget, as well as cash management.
  • Supporting logistics, HR and Admin related issues.
  • Assist with annual and quarterly audit documents.
  • Performing any other duties relevant to this position as may be assigned from time to time.
Skills and Requirements
  • Bachelor degree in the field of Finance/Accounting and/or CPA part II
  • Minimum of 1 years’ Experience working with an NGO
  • Must be computer literate and demonstrate an above average understanding in working with Excel, Word and Cost Point Accounting System.
  • Excellent writing and communication skills.
  • Knowledge of EU/EC regulations is an added advantage.

HR Administration Officer

Location: Nairobi, Kenya

Supervisor:
 HR Admin Manager

Job Summary:
 The Human Resources officer will provide administrative support to the Human Resource department. 

The role will assist in answering basic HR questions for employees and providing reports as needed. 

In addition, s/he will assist in various events and meeting/training preparation. 

The individual must have strong organizational skills as well as actual hands-on past experience in multi-tasking in an active HR office setting.

Essential Duties and Responsibilities:
  • Assist in the recruitment process; receiving, sorting and pre-selecting candidates, background checks and organizing for interviews
  • Facilitate implementation and communication of human resource management decisions
  • Assist in the staff Induction for new employees
  • Processing of employees leave applications
  • Managing the staff attendance register and escalating any anomalies to the HR/Admin manager
  • Administration and logistics required in relation to training of employees
  • Drafting simple letters for daily correspondence
  • Assist in the  pension fund administration
  • Assist the line managers in performance management process
  • Liaise with medical providers to facilitate treatment of our employees and their dependents
  • Assist in the management of human resource records, filing and updating employees personal bio data
  • Liaising with the insurance company for employees work injury benefits
  • Ensuring registration of new employees with the statutory authorities i.e. NSSF, NHIF and KRA
  • Processing employees’ terminal dues and other separation processes
  • Support managers in raising employee requisitions as directed
  • Perform any other duty that may be assigned from time to time

Program Grants Officer

Location: Kenya, Nairobi

Supervisor:
 Country Director

Job Summary:
 The Grants Officer will be responsible for supporting the oversight and management of a portfolio of grants and contracts to ensure timely and quality administration of all IMC-Kenya agreements, and compliance with donor regulations. 

To this end, the Grants Officer will lead on the improvement and maintenance of grant management systems that mitigate mismanagement and risks related to compliance and fraud. 

Drafting and copy editing reports will be a crucial function of this role. The Grants Officer will also be responsible for identifying and tracking new business opportunities. 

This includes overseeing a system for proposal development and submission, as well as drafting and copy editing proposals and concept notes. 

All these functions requires the ability to work with multi-disciplinary teams across the various functions of the country program, detail orientation, persistent in following up and being highly diligent in quality oversight. 

Essential Duties and Responsibilities:
  • Support the oversight and management of all donor agreements, grants and contracts, to ensure timely and quality administration and compliance with donor regulations.
  • Improve IMC’s grant management systems and maintain them in order to ensure grants are run smoothly and on time, and so that mismanagement and fraud is mitigated.
  • Ensure all reporting required under each grant is completed on time and in accordance with the requirement of the grant. This includes drafting and copy editing reports.
  • Identify and track new business opportunities, including from public and private sector entities.
  • Improve and oversee the systems for proposal development and submission to ensure the process is well coordinated, comprehensive, timely and effective.
  • Draft and copy edit proposals and concept notes as required.
  • Support the development and maintenance of donor and partner relationships.
  • Liaise closely with headquarters to facilitate reporting requirements and other information requirements on an ad hoc basis.
  • Work closely with all program teams and support units in order to ensure strong coordination.
  • Represent IMC at various coordination forums and meetings related to IMC programs or future opportunities.

  • At least one year grants management experience.
  • Ability to work with a diverse team, including from different countries.
  • Ability to work quickly and produce quality work under pressure.
  • Strong skills in using Microsoft Word, Excel and PowerPoint.
