Job Function: Effectively and efficiently coordinate all Import and
Export shipments Customs clearance and handling at various ports including JKIA
(Jomo Kenyatta International Airport) and ICD (Inland Container Depot).
Professionally support the FFL
functions in compliance with client, customer and all regulatory authorities’
requirements.
Key Performance Areas
·
Regulatory Compliance – Compliance with
Customs and local authorities’ requirements for imports/exports handling of
shipments including but not limited to
1.
a.
Ensuring 100% compliance of shipment
documents as per regulatory requirements.
b.
Typing and lodging of various customs
entries and ensuring close follow up until they are passed.
c.
Proper Handling and accountability of
all import and export documents.
d.
Ensuring 100% compliance with bond
and customs regulations

Quality Assurance
1.
a.
Implement exports / imports SOPs
b.
Maintain exports/ imports records
c.
Maintain allocated documents as per
approved Import / Export SOP
·
Reporting
1.
a.
Report to Imperial Senior Management,
Clients and PPB on problems such as Product quality complaints or
non-conforming products, stolen goods / hijacks and counterfeit stock.
b.
Reply on Audit reports from IHS
QA/Clients/PPB
c.
Communicate with Clients on various
matters that pertain to their business – assist with query investigation

Operations Management
1.
a.
Collect documents from all handling
sheds at the ports (JKIA and ICD)
b.
Manage parcels, documents and letters
as per delivery instructions, ensuring signatures are obtained as per receipts
and deliveries effected.
c.
Dispatch all internal and external
imports and exports documentation within scheduled timelines
d.
Engage with inspection authorities to
ensure timely inspection
e.
Proper handling and accountability of
all shipment documents.
f.
Liaise with all regulatory
authorities at the ports (JKIA and ICD) to ensure expedited shipment clearance
and release.
g.
Communicate to Imperial shipment
collection from airport upon release by customs.
h.
Ensure Ex-bonding entries are created
i.
Ensure IDFs are created on time
j.
Ensure that all regulatory reports
and internal reports are completed on time
Qualifications Required
·
Certificate in Customs
Administration.
·
East Africa Customs Freight
Forwarding Practicing Certificate (EACFFPC)
Skills and experience required
·
Clearing and Forwarding working
experience in a bond environment – Minimum 3 years
·
Analytical skills, attention to
detail.
·
Ability to work in a team environment
·
Driving License / Motorcycle license
Other requirements
·
Previous experience dealing with KRA,
KEBS and PPB
·
Ability to work under pressure
·
Positive, confident, self-motivated
and able to work as a member of a team

manage the FFL Imports / Exports / Bond and distribution function effectively
and efficiently
Key performance areas

Regulatory Compliance – Compliance
with local authorities requirements for imports/exports including but not
limited to:

a.
Obtaining imports /exports permits
and IDFs
b.
Co-ordinator PSI as per client
requirement
c.
Prepare certificates of origin
d.
Prepare East Africa \COMESA
certificate of origin
e.
Retrieve certificates of analysis by
product by batch
f.
Obtain customs entry

Quality Assurance
1.
a.
Initiate, implement and review SOPs
if required, to reflect current operational practices in import, export,
customs clearance, and delivery
b.
Maintain distribution records
·
Reporting
1.
a.
Report to Imperial Senior Management,
Clients and PPB on problems such as Product quality complaints or
non-conforming products, stolen goods / hijacks and counterfeit stock.
b.

QA/Clients/PPB/KRA
c.
Communicate with Clients on various

b. Manage communication with clients and customers
c. Generate distribution activity reports
d. Manage the bond processes.

Budget Formulation and Control –
Manage distribution budget as per established RDC budget lines
·
Business Development – Participate in
client take on process
·
Staff Training & Development –
Establish training needs & commit to training plans based on current and
expected performance levels / output
·
Performance Management – Conduct
operations’ staff appraisals
·
Health, Safety and Security-
Establish and maintain security protocols for the distribution function. Audit
distribution for compliance with established health and safety standards.

Manage client system update process
Qualifications required
·
Bachelor’s degree in business
management, logistics or related field
·
Master’s degree is an added
advantage.

East Africa Customs Freight
Forwarding Practicing Certificate (EACFFPC)
Skills and experience required
·
Freight forwarding training and
experience of five years and above.
·
Knowledge of SAP
·
Supervisory skills
