About MANI: With support from the UK Department for International Development, the Maternal and New-born Improvement (MANI) project is working with the Bungoma County Health Management Team (CHMT) to strengthen core health systems and increase survival of mothers and new-borns in Bungoma County. 

Technical assistance is being provided across three core areas:
1.    Strengthening health systems to manage and deliver quality MNH services, focusing on health planning, governance and leadership and supply chain management;
2.    Working at the community level to increase demand for and uptake of MNH services for mothers and new-borns;
3.    Leading the County Innovation Challenge Fund (CHIF) to provide funding for innovative projects, which offer local solutions to local problems in reducing maternal and new-born mortality.
About Options and the consortium partners: Technical leadership of the MANI project is provided by Options Consultancy Services, supported by a consortium of MannionDaniels, Institute of Health Policy, Management and Research (IHPMR), AMREF, CARE International, KPMG IDAS and Population Council.

Background to assignment: The Administrative Internship gives an opportunity to an individual to gain familiarity with the operations of any major office through full exposure within the available departments. 

The opportunity will provide a preceptor-directed learning experience to strengthen administrative skills and also provide a challenging out-of-the classroom experience, while also contributing to the overall success of the MANI project in Bungoma.

Scope of work: The administration office is the first point of contact for all visitors and it serves to provide assistance to clients visiting the office with varied requests. 

In this respect; MANI is looking forward to engage an intern to support in the administration function of the office and ensure the delivery of quality administrative support services. 

This position requires a flexible individual with regards to days and working schedules, including the possibility of working extra hours.

  • Support in front office desk  management and ensuring all guests are logged in and guided accordingly
  • Maintain the tidiness of the reception area
  • Receive and attend to MANI guests, carefully and professionally and respond to information requested as necessary
  • Support in handling of incoming and outgoing mails including courier services
  • Helping coordinate the support that the IT company provides to the staff, etc
  • Assist with answering routine MANI correspondence and refer more complex matters to the Programme Administrator
  • Support with document preparation such as typing, printing, photocopying and scanning
  • Assist with workshop materials preparation and documentation upon request
  • Assist with promptly updating of consortium contact lists
  • Assist with preparation of weekly travel schedules and bookings and performing any other allocated assignments

Qualifications
 
Essential
  • Currently completed or studying for a degree in a relevant field
  • Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint)
  • Ability to manage multiple requests and to liaise with different departments
  • Assertive and pro-active, with the ability to work on own initiative with little supervision
  • Ability to cope with varying workloads and interruptions and to organize activities to provide efficient services
