Summary: In charge of the
procurement function of the Sacco and ensures that all supplies to the Society
are done in compliance with the Procurement Policy

specifically the duties & responsibilities shall include the following;
- Prepares
the Sacco’s procurement plans and ensures that tender documents are
properly prepared and presented to the board
- Ensures
that effective and efficient re-order levels for various items are fixed
and maintained and Prepares orders for various supply items.
- Ensures
that all procurement is done in accordance with the procedures as per
procurement policy and that it is in compliance to the internal and
external audit requirements.
- Prepares,
receives, records and analyses tender documents for discussion by the
Tender committee.
- Receives
supplies and verifies them against orders in respect to quality, quantity
and price.
- To
process, maintain and ensure safe custody of procurement documents and
samples.
- Liaises
with the Finance Department to ensure suppliers are paid timely.
- Conducts
price surveys and monitors factors that affect price levels for planning
purposes.
- Liaises
with suppliers to ensure performance in accordance with service agreements
or contract.
- Draws
service level agreements with suppliers and contract managements.
- Ensures
rent rates policy based on professional market survey is in place to
achieve a competitive edge.
- Preparation
of procurement plans
- Keeping
minutes for the procurement committee
- Procurement
of goods for head office and branches
The
holder of this position requires to have the following qualifications:
- Must
be a holder of a degree in Purchasing and Supplies Management from a
recognized university;
- Have
satisfactorily served in a Sacco or a comparable position with similar
responsibilities or in like organizations for a minimum of three (3)
years;
- Thorough
understanding of procurement laws

- Schedules
and coordinates appointments, meetings and events including registration
and travel arrangements as necessary
- Read
and analyze incoming memos, submissions, and reports in order to determine
their significance and plan their distribution.
- Open,
sort, and distribute incoming correspondence, including letters and email.
- File
and retrieve corporate documents, records, and reports.
- Attend
to visitors and determine whether they should be given access to specific
individuals.
- Prepare
responses to correspondence containing routine inquiries.
- Compile,
transcribe, and distribute minutes of meetings.
- Manage
and maintain executives' schedules.
- Prepare
for monthly and special board meetings
- Completes
the CEO’s report, which requires input from all departments and is
presented to the Board of Directors
- Provides
administrative support for the completion of documentation of Board agenda
items
- Custody

The
holder of this position requires to have the following qualifications:
- Holder
of a diploma in Secretarial Studies from a recognized institution;
- Have
satisfactorily served in a Sacco or a comparable position with similar
responsibilities or in like organizations for a minimum of five (5) years;
- Excellent
knowledge of Microsoft Office applications specifically MS Word, MS Excel,
MS Access and MS PowerPoint;
- Have
demonstrated outstanding capability in administrative activities.

- Maintain
employee records;
- Staff
recruitment and placement with regard to preparation of role profiles,
adverts and receipt of the job applications;
- Maintain
Performance Management records;
- Develop
with line managers staffing and training needs for staff;
- Plan,
and sometimes deliver training - including inductions for new staff;
- Prepare
staff handbooks and review the Human Resource policy as need arises;
- Review
and implement policies on issues like working conditions, performance
management, equal opportunities, disciplinary procedures and absence
management;
- Advise
on pay and other remuneration issues, including promotion and benefits;
- Account
for the payroll and personnel records to determine employment insurance
premiums, workers' compensation coverage, liabilities, and compliance with
tax laws.
- Interpret
and advise on employment law;
- Deal
with grievances and implementing disciplinary procedures
- Any
other lawful duties as may be assigned from time to time.
The
holder of this position requires to have the following qualifications:
- A
degree in Human Resource Management or related qualifications;
- Have
satisfactorily served as Administration or Human Resource Officer in the
Sacco or a comparable position with similar responsibilities in the SACCO
or in like organizations for a minimum of three (3) years; and
- Strong
planning and organizing skills; and
- Ability
to work in a logical, systematic manner

preparation of financial reports and summaries e.g. cash flow statements,

matter which involves deputizing for the CEO in his absence as well as
authorization of payments when they arise
- Oversight
of Accounts/Finance personnel
- Authorization
of payment vouchers and posting of the transactions in the system
- Oversight
of bank accounts and member accounts.

The
holder of this position requires to have the following qualifications:
- Bachelor’s
Degree from a reputable university
- CPA
(K) and a registered with the Institute of Certified Public Accountants

least seven years working experience in a similar position or other
related position in a financial institution
- Aged
30-40 years
- Strong
management skills
