Vacancy: Country Project Coordinator and Administrator

WelTel Kenya is a Non-Profit Organization originating in Kenya with headquarters in Nairobi and British Columbia, Canada.  

WelTel is committed to providing evidence-based, patient-centred health solutions, through the use of mobile phone technologies such as low cost SMS (texting) for the management of HIV/AIDS and other health issues.  

WeTel, with the help of Grand Challenges Canada, is currently scaling-up its proven innovation throughout the Northern and Arid Lands of Kenya and will be testing the launch of its mHealth service delivery model and SMS software platform at several clinical sites in two distinct regions, all the while exploring sustainable business opportunities to further advance its health delivery model.
Position Information: WelTel is looking for a skilled, solutions oriented, and highly organized individual to fill the program coordinator position for our Kenyan operations. 

Based in Isiolo or Nanyuki, Kenya, this position will require the coordination and implementation of WelTel’s service delivery model and SMS platform at various clinical sites throughout Kenya, with particular attention to the Northern and Arid Lands. 

Reporting to the Executive Director, you will be responsible for leading and managing the financial, logistical, human resource, and partner engagement aspects of WelTel. You will support our technical experts in their programing, business, and research activities. 

You will have a keen eye for opportunities and be in constant engagement with our partners, beneficiaries, and stakeholders to foster strong relationships and strengthen business continuity. 

You will ensure monthly financials are up to date and transparently reported, and that quarterly reports are thorough, accurate, and meet donor requirements. 

Lastly, you will coordinate activities alongside partners and ensure the program has the resources to meet its objectives.

Main Duties / Responsibilities:
  • Coordinate WelTel’s implementation team for scale up of WelTel’s mHealth service and research activities alongside partners.
  • Plan and implement needs assessments, technology test sites, and field activities.
  • Ensure employees, suppliers, service providers and all other creditors are paid on time.
  • Work with the financial officer to ensure that accounting, financial reporting and other financial management arrangements meet donor requirements and expectations
  • Identify business opportunities and areas for programmatic expansion.
  • Fleet management
  • Maintain visibility and continuously engage with stakeholders and partners.
  • Implement and manage project changes and interventions to achieve project goals, at all times keeping stakeholders informed of the project’s progress
  • Develop and continually ensure project time-lines and budgets are adhered to.
  • Manage human resources and performance issues, up to and including hiring, evaluations, discipline and termination
  • Preparation and analysis of grant financial reports as per the grant agreement, and monitor the funding receipts
Minimum Qualifications
  • Undergraduate degree in a health or business related field such as Public Health, Doctor of Medicine, Medical Sociology, or Business Administration
  • Note: Individuals with a Masters in Public Health or Business Administration or higher are encouraged to apply.
  • 3-5 years experiences coordinating/managing large, not-for-profit health programs in LMICs is recommended
  • Kenyan citizen
  • Valid driver’s license
  • 1-2 years’ experience in health research
Qualifications and Competencies:
  • Technical skills in budget, HR, and report management.
  • 3-5 years of recent, related experience in coordinating large research studies, or managing similar scale projects, including budgeting, implementation reporting, and monitoring for an international donor-funded project preferred
  • Proven ability to work as a team and empowering colleagues in their strengths and supporting them in their weaknesses
  • Develop systems and initiatives that foster strong relationships among WelTel staff
  • Demonstrated ability to navigate, build relationships, and engage partners at the local, regional, and national level.
  • Excellent time management abilities
  • High level of attention to detail
  • An understanding of and compassion for the social, political or cultural sensitivities of the Northern and Arid Lands of Kenya
  • Experience and ability to work in dynamic, resources limited, and unstable environments
  • Ability to conduct rapid assessments and find innovative solutions with limited resources
  • Demonstrated capacity in mentorship and coaching
  • Previous experience working on projects with university partners and/or medical institutions is an asset
  • Fluent in Swahili and English with EXCELLENT writing and reporting capabilities

The position will report to the Executive Director and Chief of Operations based in Canada. You will foster WelTel’s organizational culture by maintaining a positive attitude and keeping field and research staff informed and up to date on activities. 

You will have the ability to incorporate feedback into programmatic activities as per available resources and in conjunction with partners and staff. You will communicate challenges as per WelTel’s organogram and do so in a solution oriented, constructive manner. 


You will work with the Kenyan and Canadian non-profit and research teams to trouble-shoot facility based issues, as well as technological, research, and programmatic concerns as they arise.

The appointment will be for an initial period of twelve (12) months, with a three (3) month initial probation period, with potential for extension and a renewal of contract subject to assessment of performance and availability of funds.
