Job Title: Debt Recovery Officer

Job Grade: 3.

Department: Debt Recovery Unit

Reporting To: Debt Recovery Manager

Job Summary: Working closely with the debt recovery manager in ensuring that non performing loans are fully repaid as stipulated in the terms and conditions to prevent loss to the institution due to non-repayment.

Tasks & Responsibilities

Key responsibilities and priorities will include but not be limited to the following:
  • To collect the non-performing portfolio allocated in accordance with the law and the bank’s policy.
  • Prepare recommendations for further recovery procedures for approval.
  • Issue reminders, notices and summons to and to follow up on recovery procedures as per the bank’s policy
  • To provide advice and assistance to the client in writing, by telephone, visitations (on need-basis) and/or in person.
  • Preparing reports on daily recoveries as per allocated portfolio and weekly collections to be submitted at the end of every week.
  • Liaise with branches to ensure recovered amounts deposited/credited into debtors accounts and follow ups on promises are made.
  • Issue reminders, notices and summons to and to follow up on recovery procedures as per the bank’s policy
  • To provide assistance to the client in writing, by telephone or in person about the amounts owed and establish a way forward to settlement of the same.
  • Liaise with branches to facilitate debtors visits for follow ups and location of defaulting clients’ place of work, business and/or place of residence.
  • Daily collection of loans based on non-performing loan book classification namely Substandard, Doubtful & Loss and maintain the P.A.R at the set targets.

Minimum Requirements
  • Must have worked in a bank/ financial institutions credit department for at least 2years.
  • Must have worked in collections or recoveries departments in his her previous place.
  • Must be at least 27 years of age.
  • Must possess strong negotiation and analytical skills.
  • Must have an undergraduate business university degree.
  • Additional professional credit qualification e.g certificate or diploma in credit management will be an added advantage.
  • Should have knowledge on accounts grading and provisioning as per prudential guidelines.
  • Can work with minimal supervision.

Job Title: Credit Officer

Department: Credit Department.

Reporting To: Head of Credit.

Key Responsibilities
  • Develops loan applications by evaluating applicant information and documentation at the branch level.
  • Appraising and advising members on loan eligibility while ensuring completeness of loan application forms and adequacy of information provided.
  • Monitor loan repayments at the Branch Level and initiate/recommend course of action.
  • Conduct client visits (on a need basis) and telephone calls to follow up on payments from debtors.
  • Daily monitor and manage areas for all disbursed loans to ensure full repayment.
  • Prepared daily, weekly and monthly areas report.
  • Ensuring compliance of loan procedures as per the legal requirements and internal lending policies and procedures.
  • Make recommendations on improvement of products and advising on the adequacy of the loan appraisal tools available.
  • Credit risk analysis generation and evaluation in accordance to the credit policy.
  • Manage customer and stakeholder relations in accordance with agreed SLAs.

Job Title: Micro Loan Officer

Division: Micro Finance.

Reporting To: Branch Manager/Sale Center Manager

Purpose of Job: To grow a high yield portfolio in deposits, loans and manage all client relationships to ensure world class customer service and maximum returns.

Key Job Accountabilities

  • Growth in number of new groups, chamas and individual clients accounts as per the set targets
  • Growth in deposits through the chamas/group customers and others as per the set target.
  • Growth in the loan book as per the set target
  • Maintain a Quality Micro Loan Portfolio as per the set target
  • World class customer service -Timely loan processing, disbursement and customer issues resolution-TAT
  • Training the customers on savings as a culture to ensure they adopt savings as a culture in all the groups.

Key Responsibilities

1. Deposit mobilization
  • Mobilize daily and weekly deposits as per the target.
  • Ensure each saves on a weekly basis during the weekly group meetings through the weekly collection sheets
  • Ensure each member deposits their weekly/monthly mandatory savings during the weekly group meetings.
  • Generate daily pipelines which include high value savings and fixed deposits
  • Ensuring micro transaction account utilization -all business proceeds to be banked through Jamii bora bank.
  • Monthly Customers training to include savings as culture.

2. Loan book growth and management
  • Disburse daily to groups and individual clients as per the set targets.
  • Generate weekly group meeting schedule to ensure all groups meet.
  • Attending all the groups’ weekly meetings for arrears collection, training on savings and identifying the customers to be appraised in the week.
  • Facilitating customer loan appraisal- each customer business and residential is visited by the officer and the groups screening committee.
  • Daily Loan application processing and presentation at the Branch credit committee
  • Monthly Customers training to include induction ie orientation seminar, product awareness

3. Customers growth
  • Daily new customer recruitment for groups/ individual clients as per the set targets.
  • Weekly follow-up on the new pipelines generated from the branch activation/marketing
  • Daily marketing to prospective group or individual customers.
  • Weekly customer growth from the bank partners eg AFYA BORA Health solution , Sun transfer for the solar lamps, Ken tanks for the water tanks
  • Facilitate the Financial literacy training of the customers in the branch /sales centre

4. Default management/NPLS -PAR
  • Review all the loans portfolio every Monday using the credit reports and develop the action points for the weeks arrears collection for individual customers and groups.
  • Management of one day/week arrears through the daily monitoring of loans and collections..
  • Relationship management - adhoc clients visits, calls, and complete documented visit call reports
  • Undergo periodic staff training at the branch/sales centres on risk and default management.
  • Reviewing all the cases for the disbursed micro individual cases and monitoring the customers for loan repayment, cross selling and business referrals.

5. Customer service
  • 12 hour turn around for resolution of complaints
  • Ensure that all the group and individual customers get their ATMS and are enrolled on the mobile platform after two weeks of registration.
  • Ensure that all the groups open a group savings/chama account by the second week of account opening and all existing groups by 20th January 2014 . Registering at JBB.
  • Ensure that all the branch group customers hold a reconnection forum every quarter
  • Ensure that each group has a collection sheet for savings collection and monitoring.

Qualifications and Skills Required.
  • Bachelor of Business degree or Diploma in co-operative,
  • Business management, Microfinance with a minimum of one year experience in micro finance a minimum.

Work Experience
  • Working experience of 1 year experience as a micro officer.

Job Title: Personal Banker

Job Grade: M.

Department: Personal Banking and Mortgages.

Reporting To: Head of Personal Banking and Mortgages Department.

Purpose of Job: To Provide leadership and operational efficiency the processing and maintenance of a quality loan book

Key Job Accountabilities

  • Growth – manage growth of consumer (personal and Mortgage) in your designated Branch(es).

Job Title: SME Banker

Job Grade: 3.

Division: SME and Agri Business.

Reporting To: Head of SME and Agri Business.

Purpose of Job:
  • Developing new business opportunities by proactively marketing for factoring opportunities from current & prospective clients.
  • Managing quality of the portfolio.
  • Develop and maintain effective trade finance policies and procedures.
  • To act as the main Relationship Manager for all Factoring customers and to work closely with these customers and their Buyers for their mutual benefit as well as that of the Bank.
  • Cross – selling bank services
  • Working closely with the entire SME staff to maintain a high degree of Business development, Relationship management, Customer service level and focus.

Key Job Accountabilities

Relationship Management Functions
  • Regular meetings and offering available lending and non-lending products.
  • Meeting each client at least once per quarter (as part of the renewal/review of facilities) and to meet key clients (top 30%) at least twice per month.
  • Identify new product opportunities through local market intelligence.
  • Marketing the bank’s service capabilities; looking for ways to enhance the relationship outside of lending.
  • Proactively market “SME” deposit opportunities from current and prospective clients.
  • Cross selling of bank’s products and services to existing Factoring and SME clients (e.g. Trade Finance, Forex, Fixed Deposits, etc)
  • Collection of market intelligence information local competition, products and levels of service.

Trade Finance Facilities Preparation & Appraisal Functions
  • Interviewing, analysing, and evaluating suppliers and buyers with emphasis on risks (business, financial, market etc) and particular focus on repayment risk;
  • preparation and completion of Credit Appraisal form; making recommendations to Head Officer Credit Committee/SME Credit Dept.
  • Proactive monitoring and maintenance of the relationship especially in lending and payment collections.

Control Functions
  • Maintaining credit files for the relationship they manage.
  • Co-coordinating efforts Branches, audit, loans risk & administration and banking operations.
  • Working together with the Branch SME Banker / Branch Manager to ensure daily banking and operational services are delivered to the relationships they manage and Bank’s satisfaction.
  • Daily monitoring of account operations of all relationships they manage –suppliers especially.
  • Check covenants and other conditions at least monthly.
  • Ensure compliance with terms & conditions laid down by the Approval and Offer Letter.
  • Review risk grades at least quarterly.
  • Maintain client registers/databases.
  • Ensuring all files and records are in order.
  • Undertake renewals &/or reviews of outstanding invoices before 90 days of expiry.

Supervision Functions
  • Working in co-operation with the Head of SME, Branch Manager and Credit Manager to identify and monitor problem facilities and possible delinquent facilities for further action.
  • Actively pursue and engage doubtful clients and those in arrears, so that all avenues are explored before marking the facilities as substandard or doubtful.

Recovery Functions
  • Daily monitoring of all accounts they manage in arrears.
  • Immediate follow-up of accounts they manage in arrears.
  • Initiation of demand and other procedures.
  • Recommendations to Head of SME, Head of Credit and Credit Committee.
  • Down-grading of accounts in arrears.
  • Liaising with Debt Recoveries Unit when appropriate (recovery of collaterals, use of debt collectors/auctioneers, write-offs etc).

Customer Care
  • Promotes business for the Bank by maintaining good customer relations and referring customers to appropriate staff for new services.
  • Provide timely and organised responses to customer questions/disputes.
  • Keep customer information Confidential.

Others
  • Preparing and agreeing an annual budget based on client portfolio.
  • Preparing and agreeing a monthly action plan and calling programme; regular quarterly appraisal meeting with Head of Factoring.
  • Maintain database of Factoring suppliers and Buyers they manage.
  • Prepare performance reports (quarterly work plan, activity report etc).
  • Originate quality loans to meet individual targets.
  • Submit periodic reports of all facilities approved/disbursed, to the SME Credit Manager and Head SME.

Key Performance Indicators
  • Manage a minimum of 100 Trade Finance clients with a minimum portfolio of Kes. 300M.
  • Identify account issues and promote resolution by working with clients and various internal teams.
  • Make calls to all relationships they manage at least once every two weeks.
  • Visit all relationships they manage at least once per quarter and generate call reports for review by Head of SME
  • Must generate at least two referrals from existing relationship they manage.
  • Review, validation and processing of applications in a timely manner.
  • Identify opportunities and clients for Liability products.
  • Regular oversight of the Trade Finance operations and credit officers to make sure that their client’s transactions are properly logged in the system and all documentation is received and filed properly.
  • Each Relationship they manage must have at least one active current account.

Qualifications and Skills Required
  • A university degree in a business related field with at least AKIB banking certificates will be an added advantage
  • Effective writing and presentation skills in English.
  • Good working knowledge of Microsoft Office (Word, Excel etc)

Work Experience
  • 2 years’ Experience in Relationship management and Trade Finance.

Job Title: Cash and Operations Manager

Job Grade: 3.

Department / Division: Commercial Division.

Reporting To: Branch Manager.

Purpose of Job: Deputy to the branch manager in charge of operations and controls.

To direct and control daily operations in the Branch, ensuring that the Branch Operations and Customer service is run effectively and efficiently in the spirit of quality customer service and risk management.

Key Job Accountabilities

  • Offer leadership and guidance to the operations team and deputize the branch manager in the entire branch management.
  • Ensure that tellers and Customer service officers operate efficiently and effectively while minimizing related operational risks.
  • Ensure that high levels of customer service standards are observed at the branch all times.
  • Diligently review of branch management reports without fail within the prescribed frequency and resolve/escalate any exceptions.
  • Authorize and approve daily transactions for deposits and withdrawals, and other services (drafts, telegraphic transfers, cashier's orders) within the delegated authority and countersigned by any other authorized officer when necessary.
