Personal Assistant
Reporting to: Director
Our client, ICT firm dealing with computer, phones and other
products in East Africa is looking for a Personal
Assistant to
provide an efficient and responsive administrative, organisational, and
logistical service to the director, helping him to manage his time.
Duties and
Responsibilities;
·
Handle all administrative duties for the directors including
office organization.
·
Coordinate and schedule regular meetings, as well as appointments
·
Conduct weekly diary meetings with the director to discuss
upcoming engagements, invitations and other requests
·
Ensure guests meeting with the directors are well taken care of
by serving them with beverage of their choice before meetings
·
Screening telephone calls, enquiries and requests, and handling
them as appropriate
·
Manage and filter e-mails for the director and highlight urgent
correspondence
·
Dealing with all correspondence and writing letters, taking
dictations and minutes
·
Following up and collecting all reports from Head of Departments
on behalf of the director and presenting them to the director on time
·
Coordinate and schedule all travel arrangements on behalf of the
director and ensure all arrangements are in place
·
Running personal errands for the director if required
·
Debt collection on behalf of the director
·
Any other duty as assigned
Requirements:
·
Bachelors degree in a Business related field
·
Certificate in secretarial course will be an added advantage
·
At least 4yrs experience in the same position in a busy
environment
·
Computer literate
·
Good communication and presentable skills
·
Preferably female between the ages of 28-35YRS
