Admin / Finance Officer Job in North Horr, Kenya


Solidarites International (SI) is an international humanitarian aid organisation which provides assistance to populations who are victims of armed conflict or natural disaster. 

For 30 years, SI has concentrated its action on meeting three vital needs: water, food and shelter. 

By carrying out emergency programmes, SI has acquired an extensive experiences and expertise in the fields of promoting access to clean drinking water and sanitation. 

In the Horn of Africa, SI is currently implementing food security, water and sanitation projects in Kenya and Somalia. 

We are seeking qualified persons to fill the following positions:

Position: 
Admin / Finance Officer
 
Location: North Horr, Kenya
 
Report to: Field Coordinator
 
Technical links with: Administrative Coordinator, Kenya/Somalia
 
Relations with: Program Managers and field staff
 
Duration: 1 year (with possibility of extension)

Position Objectives:
 
The Administrative/Finance Officer will manage the field project administrative issues. 

Ensure, along with the Field Coordinator, Solidarités International’s financial and administrative procedures are in place and applied properly by persons involved in the projects implementation.

Keys responsibilities: 
 
Human Resources
  • Ensure the respect of SIrules and regulations for the national staff, being helped on that task by the Human Resources Officer in Coordination Level
  • Manage local recruitments with his/her Field Coordinator
  • Follow up the data base and issue monthly salary payslips to the Coordination for validation
  • Ensure that performance evaluations are conducted regularly and job descriptions are relevant and updated.
Finance
  • Responsible of the accountancy for North Horr program.
  • Organize the sending of field accounting files to Nairobi on a regular basis (maximum every two months).
  • Ensure that accounting files are properly followed up and identified.
  • Check field invoices to ensure Solidarités International’s procedures are followed (BAP, signatures …).
  • Responsible of accounting cashbooks follow up.
  • Along with his/her Field Coordinator, Supervise the financial follow up (expenses, forecast, cash forecast ...).
  • Responsible to ensure that donor’s rules and regulations are respected.
  • Responsible to ensure that cash flow between Nairobi and North Horr, is properly organized, planned and that all payment made by the local transfer companies are duly documented.
Reporting
  • Send on monthly basis and to Nairobi: accountancy, budget follow up and Homere
Management
  • The Administrative/Finance Officer will directly manage domestic staffs. This management will include recruitment, training, regular evaluation, planning and supervision of the work.
Communication
  • Share with the Field coordinator every information about administrative/HR/Financial needs
  • Participate in the monthly general planning of the program
Qualifications
  • A Diploma in Business Administration or other related field
  • Knowledge in MS-Office packages usage
Experience
  • At least 2 year’s experience working in a HR/ Finance section

  • Good communication/reporting skills
  • Mature and diplomatic with respect for local cultures
  • Sense of humour and ability to work in remote areas
  • Fluency in English and Kiswahili languages
  • Good stress resistance

  • Sense of initiative
  • Ability to work in a multicultural team
