Job Description for full time VIO Network Coordinator
Location: Nairobi
12 month contract
The Volunteering Involving Network (VIO) is an amalgamation of organizations that work in development through/and with volunteers and that promote volunteerism as a means to development. The VIO network has been in existence since 2004. Member organizations represented in the VIO network include: United Nations Volunteers, Kenya Red Cross Society, St. John’s Ambulance, Voluntary Service Overseas (VSO) Jitolee, Ufadhili Trust, Arid Lands Information Network (ALIN), Presidents Awards Scheme, Progressive Volunteers, Ungana Young Friends of AMREF National Volunteer Network Trust (NAVNET), World’s Girl Guide Association and Hope Worldwide Kenya among others.
The VIO network seeks a full time Network Coordinator, to help facilitate the network’s objectives on the promotion of volunteerism in Kenya, and around the development of national standards and policy statements that will promote volunteerism in Kenya. These objectives are worked upon in close liaison with the VIO network members mentioned above. The coordinator will be located at one of the VIO network member offices in Nairobi.


Detailed Job Description


The VIO Network Coordinator is line managed for day to day activities by the VIO’s chair, which is currently held by St. John’s Ambulance.
The specific roles and responsibilities include:


Coordination, planning & organisational profile
  • Take responsibility for a clear and updated agenda of all VIO network activities and communicate plans and progress regularly with the network members
  • Oversee the implementation of VIO network projects/activities and reporting to project donors and the network members as required
  • Facilitate smooth running of relevant VIO network Committees, liaising closely with Committee Coordinators and ensure their work plans are coherent with VIO network objectives, strategic plans and adequately resourced.
  • Take part in representing VIO network in external meetings and events as appropriate.
  • Liaise with Committees Coordinators and the wider network, to identify advocacy strategies and objectives.
  • Work with network members to establish further projects as appropriate.
Network Coordination & Support
  • Provide a first point of contact for enquiries from network members.
  • Help, train, stimulate and inspire people in the network to participate in the work of the network.
  • Coordinate technical and logistical preparation for the Volunteer of the Year Awards (VOYA), International Volunteer Day (IVD) in liaison with network members
  • Keep VIO network members informed of VIO network developments and achievements
  • Work to build and enhance the membership and diversity of the VIO network.
  • Organise collection of all membership activities and fees.
Finance, budgeting and fundraising
  • Organise VIO network annual budgeting, in liaison with Committee coordinators
  • Provide first point of contact with VIO network donors regarding finances and budgeting.
  • Prepare and submit narrative and financial reports to donors, maintaining complete and correct donor grant files.
  • Identify and liaise with potential new donors, for core and project funding opportunities.
  • Coordinate production of all internal and public VIO network reports and briefings, in liaison with Committee Coordinators.
  • Produce the VIO network quarterly newsletter.
  • Maintain the VIO network- E -mail list serves
  • Lead in the development and implementation of a VIO network website
Administration
  • Help organise and attend Committee meetings, seminars, and other VIO network events, taking and circulating minutes as appropriate.
  • Liaise with VIO network Chair on dates and agenda preparation for network meetings, attend meetings and take and circulate minutes.
  • Prepare an annual VIO network activities report.
  • Create and maintain a contacts database
Qualifications, experience and personal qualities 
Essential
  • Degree-level qualification- at least a bachelor’s in development studies/social sciences.
  • Ability to rapidly acquire overview of technical and policy understanding of the volunteerism sector in Kenya, if not already familiar with these
  • Fluent written and spoken English.
  • Good team player, with proven networking, capacity-building and listening skills.
  • At least 2 years post university working experience within an NGO and networks
  • Enthusiasm to take on a one year position, to deliver concrete results and follow-on funding within a 12 month period.
  • Good organisational, communication and Information Technology skills.
  • Good understanding of the challenges of coordinating a network
