Finance & Administration Manager Job in Kenya – NGO

Position Title: Finance & Administration Manager

Station:
 SANA Headquarters - Kisumu

Accountable to: Reports to the Team Leader

Duties and responsibilities

A). Cash Flow Management
  • To produce financial work plans and budgets for proposed, ongoing and past project proposals.
  • Review budgets and work plans for proposed and ongoing project.
  • To prepare a monthly realistic cash budget for the operational activities and resources procurements.
B). Ensure Internal Control Systems
  • To ensure that no expenditure and or cash payment is processed/initiated before a requisition is done in writing and dully approved by the Team Leader.
  • To ensure that no expenditure is initiated which is not provided for in the budget or for which no prior approval is obtained.
  • To ensure that all payment vouchers are dully authorised by relevant officers before payment or transactions are effected
  • To ensure bank reconciliations are done at the end of  every month to monitor bank transactions
  • To ensure cash reconciliations are done weekly
  • Prepare weekly returns on petty cash/impresst transactions.
  • To manage the office petty cash strictly on an imprest system basis.
  • To ensure that all financial transactions are properly authorized, valid, accurate and accounted for in the period in which transacted.
  • Ensure that petty cash processing is carried out within approved procedures
C). Financial Management
  • To cause proper costing of the projects.
  • To advise the Team Leader and the Management on all matters pertaining to the financial functions of SANA.
  • To ensure that transparency and accountability of funding from partners is upheld in the financial transaction of SANA.
  • To verify that all payment vouchers are correctly posted into the accounting system weekly
 D). Human Resource Management
  • To supervise and coordinate the activities of the Finance and Administration staff
  • To ensure administration and implementation of HR strategies focusing on achievement of the required results.
  • Administration of payroll and benefits. Provide information on payroll action as per set guidelines.
  • Co-ordinate staff performance including induction, probation and the annual performance evaluation.
  • To prepare payrolls for the SANA team and other workers.
E). Logistics
  • To check where relevant stock movements as shown on stock card balances with the QuickBooks balances every month; to ensure proper store keeping procedures.
  • To cause preparations of analysis for motor vehicle mileage covered, fuel consumed and reports/renewals expended at the end of every month.
  • Ensure all vehicles have valid statutory requirements including insurance and NTSA requisites for trucks
F). Assets Management
  • To ensure that all assets of SANA (vehicles, furniture and equipment) are properly accounted for and protected.
  • Perform other duties as may be assigned from time to time.
Qualifications
  • Have a Bachelors Degree in Commerce (Accounting/Finance Option) from a recognized Institution.
  • be in possession of CPA (K) or its approved equivalent;
  • being a member of Institute of Certified Public Accountants of Kenya (ICPAK) will be an added advantage
  • Computer Proficiency.
  • 5 years experience, 3 of them in a Senior Level.
  • Good communication, interpersonal and analytical skills, team player and strong organization skills.
  • Ability to work with minimal supervision and can deliver on agreed timelines.
  • Demonstrate high level of integrity.
