client is one of Kenya’s largest transport and logistics providers in East
Africa.

Role Title: Personal Assistant to the Chief Executive Officer (CEO)
Primary Purpose of the Role:
Provide
high level administrative support by conducting research, preparing statistical
reports, handling information requests and performing clerical functions such
as preparing correspondence, receiving visitors, arranging conference calls,
and scheduling meetings.
May
also train and supervise lower-level clerical staff.
General Accountabilities:
- Prepare invoice,
memos, reports, letters, financial statements and other documents, using
word processing spread sheets, data base or presentation software
- Answer phone
calls and direct needed calls to the Chief Executive Officer
- Conduct
research, compile data, and prepare papers for consideration and
presentation by the Chief Executive Officer
- Attend meetings
to record minutes, share to appropriate parties, and well maintain them
either electronically or in hard copy
- Usher visitors
and determine whether they should be given access to the Chief Executive
Officer
- Read and analyze
incoming memos, submissions, and report to determine their significance
and plan their distribution
- Perform general
office duties, such as ordering supplies, maintaining records management
data base systems, and performing basic book keeping work
- File and
retrieve corporate documents, records, and reports
- Open, sort and
distribute the Chief Executive Officer’s incoming correspondence including
faxes and emails
- Make travel and
accommodation arrangements on behalf of the Chief Executive Officer
- Draft standard
letters for the Chief Executive Officers approval

Qualifications:
- Academic
- A University
degree in Business Administration or equivalent Professional
- Computer
literate with certification and proven experience on the latest standard
computer applications .i.e. Microsoft Office, Power Point Presentation and
Excel Spread Sheets
