Grants Accountant

Plan International, Region of Eastern and Southern Africa (RESA) office based in Nairobi, Kenya is currently looking for  a Grants Accountant:

Dimensions of the role

The grants accountant is responsible for grants – administration, cash and budget management, grants financial reporting and analysis; reports verification, capturing and monitoring of cost recovery, capacity building to partners and monitoring grants audits.


Key End Results and typical Responsibilities
  • Review and consolidate all weekly and monthly Regional grants cash requests from Partners and staffs.
  • Liaises with potential grantees to support and facilitate proper due diligence procedures
  • Liaises with partners to ensure all relevant grant documentation are completed and received timely.
  • Follows through with relevant in-house approval processes required for grant making timely.
  • Coordinate the proper documentation and archiving of all grant documents.
  • Monitor budget versus expenditure for the Regional grant funded projects.
  • Review all budgets for each grant and all budget modifications and submit the same to RFC for incorporation into regional budgets.
  • Capturing and monitoring of cost recovery from grant funded projects
  • Review the Monthly Match Maker Report and provide feedback to Regional Financial Controller and Resource Mobilization Manager.
  • Consolidate all Regional Office grant financial reports, for submission to the Regional Financial Controller.
  • Review all grant proposals to ensure financial accuracy and completeness.
  • Create all grant account codes in General Ledger as per Plan policy and procedures.
  • Associate all grant related account codes to each grant upon approval of a grant Project Outline.
  • Prepare and distribute relevant monthly grant financial reports to budget holders.
  • Prepare the annual financial reports to be submitted to donors and for audit
  • Co-ordinate and facilitate the audit of the grant funded projects as per contractual agreement
  • Liaise with respective technical advisors and grant team to assess and support the partner in the financial management.
  • Prepare training programs and conduct financial training for partners involved in implementation of grants.
  • For the Pan African office to be the point person for all the Project Outlines.

  • The position requires appropriate financial and grants management expertise to ensure the Regional Office meet their accountability for financial operations and up to date grants financial records and reporting.

Knowledge
  • A degree in Accounting;  equivalent qualification
  • 3-5-years’ experience in a similar role working in a computerized accounting office in an NGO set up.

  • Proficient in computer skills and use of relevant software and other applications, e.g. word processing, spreadsheet, database, internet

This is a (2) two years’ fixed term contract.
