Our client is an evolving and innovative pan-African social enterprise with a Youth Empowerment Program that is designed to encourage the conversion of idle youth talent into productivity. 

The enterprise  seeks to elevate its youth impact by strengthening and launching its inspirational and intervention platforms such as coffee table book publications, awards ceremonies, inspirational sessions, Trade Fairs & Exhibitions, Fashion Label, Youth Television, Entrepreneurship Fund, Humanitarian fund, International sports linkages, Leadership Coaching and Youth Conferences.

Overall Job Purpose: As the Administration associate & executive assistant to the director you will work as a key member of the team to provide a wide range of administrative support services and ensure efficient functioning of the office and effective communication with the director and stakeholders.

Duties and Responsibilities
·                     Reception: Manning the reception, receiving visitors and sending out correspondence: via phone calls and emails.
·                     Manage the coordination of events, travel, meetings for the team.
·                     Management of filing, photocopying and scanning of documents as per work demand.
·                     Office requisitions and keeping records of all contracts from service providers.
·                     Editing, developing content for reports and taking minutes of meetings.
·                     Where operational responsibilities cross into other departments, ensure effective communication and support.
·                     Managing supplier database, events documentations such as tickets and raffle items
·                     Extensive liaison, meetings and relationship management with external teams such as exhibitors, designers, awards nominees, etc
·                     Work closely with the director in developing contracts, managing disbursements of cheques and invoices.
·                     Supporting the director and accountant in processing invoices and payroll.
·                     Day-to-day accurate data entry of personnel records in the system, i.e. sick leave, annual leave, contact and dependant details etc.
·                     Assist with providing answers to routine HR and Administration queries such as prompt submission of leave forms, time sheets, travel plans, work plans, appraisals etc.
Abilities, Skills and Qualifications
·                     A relevant degree in Business Administration/HR or related fields.
·                     More than 3 years’ experience supporting senior executives and diverse teams.
·                     Candidate should have in-depth knowledge of Google Apps (Specifically e mail and calendar management), MS Office Suite (Word, Excel and PowerPoint)
·                     Must have proven experience leading teams and offering advice to the director.
·                     Proven ability to work independently, set priorities, juggle tasks and meet deadlines
·                     Strong decision making, organizational, time management and problem-solving skills are essential
·                     Proven ability to manage a number of projects at the same time
·                     Should be very firm/confident and able to work well with a diverse team.
