Program
Description: Through the four-year STRYDE program, TechnoServe has
successfully worked with over 10,000 youth in Kenya, Rwanda and Uganda,
enabling a more successful transition of rural women and men, aged 18 to 30,
into economically independent adulthood.
The Program is now
entering a second Phase, where it will work with an additional 48,015 youth,
for the next three years.
Position Description
Reporting to Country
Finance Controller, the position will be responsible for:-
Financial Management
and Analysis:
- Provide
basic financial management and analysis for the program and general
program admin operations
- Process
all payments for the project including writing cheques and preparing
Payment vouchers
- Maintain
general ledgers, cash books, debtor and creditor ledgers and fixed asset
registers
- Reconcile
Bank Accounts, Travel advance accounts, Petty cash Accounts and other
balance sheet items on a monthly basis to ensure correctness of balances
- Ensure
reliability and accuracy of data entered into financial management system
- Manage
travel advances and expense reimbursements for staff
- Timely
and accurate receiving and banking of cash and cheques
- Coding
of invoices, maintenance of records and reconciliation of statements for
suppliers and debtors
- Maintain
financial documents filing system and accounting records
- Preparation
of statutory returns including WHT and PAYE returns
- Ensure
that all processes and procurements adhere to corporate policy, legal and
contractual obligations, and corporate and donor standards
- Maintain
high levels of confidentiality in relation to sensitive and confidential
commercial and business financial decisions and issues
- Provide
pro-active advice to ensure optimal financial systems and reporting and
maintenance of TechnoServe’s accounting policies, financial procedures and
guidelines
- Reconcile
field office due to/from account with headquarters due to/from account
- Resolve
any discrepancies and errors in a timely manner
- Review
time sheets to ensure accuracy
- Any
other duty as may be allocated by the Financial Controller
Reporting
- Share
spending analyses and trends with project team members to help synchronize
program and financial decision-making processes
- Support
the Preparation of the quarterly donor reports ensuring all receipts and
supporting documents are scanned and shared with the regional Finance
- Discuss
budget variances, drivers and recommended adjustments with the Project
team
- Support
the Country and regional team with annual budget reviews
- Support
team in preparing for all internal and external audits necessary
Personnel and Grants Management:
- Provide
overall coordination and quality management of staff issues touching on
Finance and Administration
- Work
with staff to ensure timesheets correctly and promptly completed on a
monthly basis
- Work
closely with country management to ensure that project work plans and
financial planning are in sync
- Interface
with other country, regional, and HQ staff
- Ensure
financial information is shared and flows transparently within the project
team and to other organizational levels, as appropriate
- Ensure
funds transferred to Sub-grantees are properly recorded, monitored and
reported
Minimum Requirements
- A
Bachelor’s Degree in Accounting, Business Administration or Economics
- Professional
Qualification like CPA, ACCA, CMA.
- Minimum
5 years financial accounting experience preferably in an NGO environment.
- Excellent
IT skills with experience of operating computer-based financial management
softwares.
- Experience
and knowledge in providing account analysis, managing grant
tracking/monitoring systems, monitoring grant expenditures in order to
identify any irregularities.
- Strong
financial management and analysis skills.
- Good
understanding of the local legal, labour, and procurement laws.
- Excellent
interpersonal, oral and written communication skills.
- Experience
with international donors requiring high-levels of reporting data.
- Ability
to contribute to the development of detailed financial reports.
- Proven
ability and experience working with teams will be an added advantage.
- Ability
to generate innovative solutions in work situations and ability to
establish a course of action to ensure that work is completed effectively
and efficiently to deliver high-quality and on-time results.
