Program Assistant Job in Kenya

PATH seeks to recruit a
 program Assistant to work closely with the APHIAplus zone 4 project teams to provide a wide range of administrative and program support services that ensure the efficient and effective functioning of the project. 

The main responsibilities include but are not limited to:

  • In liaison with the project Program Officers, update work plans, projects reports, project data, work plans and M&E plans on the server.
  • Ensure that quarterly reports are proofread, and final version saved in the PATH shared folder.
  • Co-ordinate training/meetings on behalf of the project teams. Organize and coordinate logistics for all APHIAplus Zone 4 project meetings, maintaining a database of the participants, sending invitations, taking minutes and dissemination of the minutes.
  • Assist with the management and presentation of information, such as the development of Power Point presentations, handling basic correspondence and conducting web searches.
  • Assist the Senior Technical Advisor (STA) in program planning - workshops, pretest, and any other responsibilities assigned and assist and work with the Program Officers in organizing for events and activities.
  • Maintain contact lists / databases for consultants; ensure that all procedures for appointment are finalized. Facilitate preparation of work-orders, follow-up on consultancies payments and reconciliations.
  • Coordinate the GOK involvement in APHIAplus activities through maintaining a database of the representatives of the relevant ministries and keeping them informed of our activities and working with them
  • Maintain the calendar of activities for PATH and partners, update it regularly and share with all the staff.
  • Assist with procurement of project supplies.
  • Backstop for project staff in handling basic tasks and correspondences and crosschecking expenditure returns (RATS/WARS and TERS/WERS) before submission to PADM and STA.
Required Skills 
  • Ability to communicate effectively, confidently and appropriately within a cross-cultural environment.
  • Strong documentation skills including report writing and minute taking.
  • Fluency in English, both verbal and written is essential.
  • Computer literate; experience in using Ms office suite.
  • Knowledge of office systems and administrative procedures and processes.
  • Good analytical skills.
  • Good organizational skills, with demonstrated ability to manage and prioritize tasks with little supervision.
  • Self-starter with ability to operate effectively under stress.
  • Attention to detail.
Required Experience 
  • University degree in administration, social sciences, education or relevant field. Diploma with relevant experience will also be considered.
  • Minimum of 3 years experience in community work in a rural community and office administration.
  • Experience in coordination of community activities for donor-funded projects desirable.
  • Experience in HIV and AIDS and reproductive health programs /issues an added advantage.
  • Experience in collecting field data, maintaining project records and preparing reports.
