Job Title: Procurement & Operations Assistant

Reporting to:
 Operations and Sales departmental heads

The role

The Procurement and operations assistant will perform the following duties

a) Administration
  • The Procurement & Operations Assistant will perform administrative duties to streamline business operations of Flora net including office management
  • Keep the organization running on budget and explore ways of increasing productivity
b) Supply chain management
  • Process orders to different farms and follow up on delivery at the airport
  • Inspect merchandise procured for compliance with standards
  • Ensure merchandise is cleared for export at the airport with all documentation
  • Be the quality controller at the airport for all exports
  • Visit farms where necessary to ensure customer requirements are taken into consideration and resolve customer issues where they arise
  • Prepare and reconcile reports on shipments
c) Communication
  • Ensure efficient communication between Flora Net, markets, farms and other stake holders in the supply chain
  • Prepare and dispatch correspondence as directed by the directors
  • Send reports on orders and shipments achieved Vs targets to the directors on daily basis
  • Inform the directors on any issue affecting the business
Requirements 

Education
 
  • Diploma/associate degree in office administration or a bachelor's degree in business or a field related to the floriculture industry.
  • Coursework should include business administration, bookkeeping, document management, word processing and data entry.
Skills 
  • The person Must have excellent written and verbal communication skills and the ability to interact with customers and coworkers.
  • Solid organizational and management skills
  • Ability to initiate and follow through on projects, solve problems and meet targets with minimal supervision.
  • Procurement & Operations Assistant He/she must possess tact, diplomacy, a positive attitude and the ability to perform under pressure.
  • Word processing and data entry skills are essential
  • Knowledge of floriculture industry standards is desirable
  • Knowledge of flowers and the flower business
Experience
  • Person must have at least two years of experience in the flower export business
  • Experience in quality control will be an added advantage
