Receptionist Job in Nairobi Kenya

Duma Works is recruiting a Receptionist for one of our clients. 

The company is a legal firm in Nairobi.

The Receptionist is responsible for providing secretarial, clerical and administrative support in order to ensure that legal services are provided in an effective and efficient manner.

Job Objective: To deliver friendly, efficient customer service and to create a warm and welcoming atmosphere for all of our guests, with the key aim of retaining and attracting new customers. 
Responsibilities
  • Deliver excellent customer service, at all times
  • Assist in keeping the office reception area clean and tidy, at all times
  • Deal with all enquiries in a professional and courteous manner, in person, on the telephone or via e-mail
  • Provide office support services in order to ensure efficiency and effectiveness within the law firm activities
  • Receive, direct and relay telephone messages
  • Carry out instructions given by the management team
  • Direct the customers and the general public to the appropriate staff member
  • Coordinate the pickup and delivery of the mail
  • Open and date stamp all general correspondence / mail
  • Maintain the general filing system and file all correspondence where required
  • Assist in the planning and preparation of meetings and conference telephone calls
  • Make preparations for office meetings
  • Maintain an adequate inventory of office supplies
  • Respond to public inquiries
  • Provide word-processing and secretarial support.
  • Perform clerical duties
  • Perform other related duties as required
  • Preparation of tea and coffee for customers and visitors.
Qualifications
  • Business administration/ communication / secretarial diploma from recognized institution
  • Computer literate – Use of basic computer packages MS WORD, EXCEL AND POWER POINT
  • Must be below 30 years of age.
