HR & Administration Manager Job in Nairobi Kenya (150K)

Our client is a market leader in distribution of used car sales, maintenance service, parts sales, as well as car rentals. 

They seek to hire an all rounded HR & Administration Manager to direct, plan, organize and manage the Human Resources department and administration and its activities.

Duties and Responsibilities
  • Maintains and enhances the organization's human resources by planning, implementing, and evaluating employee relations and human resources policies, programs, and practices.
  • Maintains the work structure by updating job requirements and job descriptions for all positions.
  • Maintains organization staff by establishing a recruiting, testing, and interviewing program; counseling managers on candidate selection; conducting and analyzing exit interviews; recommending changes.
  • Prepares employees for assignments by establishing and conducting orientation and training programs.
  • Maintains a pay plan by conducting periodic pay surveys; scheduling and conducting job evaluations; preparing pay budgets; monitoring and scheduling individual pay actions; recommending, planning, and implementing pay structure revisions.
  • Ensures planning, monitoring, and appraisal of employee work results by training managers to coach and discipline employees; scheduling management conferences with employees; hearing and resolving employee grievances; counseling employees and supervisors.
  • Maintains employee benefits programs and informs employees of benefits by studying and assessing benefit needs and trends; recommending benefit programs to management; directing the processing of benefit claims; obtaining and evaluating benefit contract bids; awarding benefit contracts; designing and conducting educational programs on benefit programs.
  • Ensures legal compliance by monitoring and implementing applicable human resource requirements
  • Maintains management guidelines by preparing, updating, and recommending human resource policies and procedures.
  • Maintains historical human resource records by designing a filing and retrieval system; keeping past and current records.
  • Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
  • Maintains human resource staff job results by counseling and disciplining employees; planning, monitoring, and appraising job results.
  • Contributes to team effort by accomplishing related results as needed.
  • Serve as a link between management and employees by handling questions, interpreting and administering contracts and helping resolve work-related problems.
  • Make certain that all administrative systems and processes are highly reliable, finely tuned and well delivered with an aim toward pro-action rather than reaction
  • Completes special projects by organizing and coordinating information and requirements; planning, arranging, and meeting schedules; monitoring results.
  • Provides supplies by identifying needs for reception, switchboard, mailroom, and kitchen; establishing policies, procedures, and work schedules.
  • Plan, direct, supervise, and coordinate work activities of subordinates and staff relating to employment, compensation, labor relations, and employee relations.
  • Analyze training needs to design employee development, language training and health and safety programs.
  • Develop, manage and implement personnel policies; develop a Human Resource Information System (HRIS)
  • Maintains continuity among corporate, division, and local work teams by documenting and communicating actions, irregularities, and continuing needs.
  • Provides communication systems by identifying needs; evaluating options; maintaining equipment; approving invoices.
  • Accomplishes staff results by communicating job expectations; planning, monitoring, and appraising job results; coaching, counseling, and disciplining employees; initiating, coordinating, and enforcing systems, policies, and procedures.
  • Serve as administrative team leader, coach and advocate for administrative staff.
  • Communicate and ensure compliance and consistency with office practices and policies and compliance with all employment related laws.
  • Effectively interface with all levels of the organization to coordinate and oversee all of the people-related and office management activities.
Skills and Qualifications
  • Undergraduate degree in Human Resource or related field
  • At least 5 years HR and administrative experience preferably in the automotive industry
  • At least 30 years old
