About
the Role:
BURN is looking for a Product Administrative coordinator who will
work closely with the Chief of Staff to the CPO in handling the following:
Duties and Responsibilities:
- Calendar
Management: Efficiently manage the calendar of the CPO, scheduling
appointments, meetings, and travel arrangements (where applicable) with
precision and foresight.
- Documentation
Preparation: Prepare and edit documents, presentations, and reports for
meetings and presentations, ensuring accuracy, clarity, and adherence to
organizational standards.
- Research and
Information Compilation: Conduct research and compile information as
needed for various projects, initiatives, and decision-making processes.
- Logistics
Coordination: Coordinate logistics for meetings, conferences, and events
such as team building, including venue booking, catering, and audiovisual
equipment setup, to ensure seamless execution.
- Record
Management: Maintain and organize filing systems, databases, and records
for the CPO, ensuring easy accessibility and confidentiality of sensitive
information.
- Confidentiality
Maintenance: Handle sensitive and confidential information with
discretion, integrity, and professionalism always.
- Administrative
Support: Provide comprehensive administrative assistance, including but
not limited to:
- Coordinating
with external vendors and service providers for office maintenance,
repairs, and other facilities-related tasks.
- Assisting with
the coordination of team meetings, including agenda preparation, minute-taking,
and follow-up on action items.
- Supporting
HR-related activities, such as coordinating interviews, onboarding new
hires, and maintaining employee records.
- Assisting with
the coordination and execution of company-wide events, initiatives, and
employee engagement activities.
- Responsible for
receiving, compiling, processing, and managing requests for competitor
product purchases, ensuring a streamlined workflow to facilitate
competitor analysis.
- Any other
related tasks assigned to them by their line manager.
Skills
and Experience:
- Bachelor’s
degree in business administration, management, or a related field.
- Proven
experience as a Personal Assistant or Executive Assistant, preferably
supporting C-suite executives.
- Excellent
organizational and time management skills, with the ability to multitask
and prioritize tasks effectively.
- Strong written
and verbal communication skills in English.
- Proficiency in
MS Office applications (Word, Excel, PowerPoint, Outlook) and other
relevant software.
- Discretion,
professionalism, and integrity when handling confidential information and
sensitive matters.
- Ability to work
independently with minimal supervision and maintain a high level of
accuracy and attention to detail.
- Strong
interpersonal skills with the ability to build and maintain relationships
at all levels.
- Knowledge of
office management systems and procedures.
- Familiarity with
Kenyan administrative procedures and protocols.
- Experience with
event planning and coordination.
