Our client, a construction and engineering company is seeking a Transport & Procurement Assistant

Job Purpose: To oversee procurement of materials and services in line with procurement policies & procedures and support the management of company’s transport unit 

Procurement Duties:

  • Assist in the preparations of department work plans, procurement plans and budgets.
  • Review purchase requests and specifications from users to ensure that the right items/services are procured.
  • Will verify quotations and tender documents for approval by the Accountant before purchase.
  • Will evaluate overall price and past performance of each contractor /supplier and report to management for further action
  • Process purchase requisitions / orders within purchasing authority.
  • Invite, assess, and award/recommend supplier bids, quotations, and proposals
  • Establish and negotiate contract terms and conditions, and maintain supplier relationships
  • Prepare and maintain purchasing records, reports and price lists
  • Assist in the development of specifications for equipment, materials and services to be purchased.
  • Administer contract performance, including delivery, receipt, warranty, damages and insurance
Transport Duties:
  • Responsible for getting the right products in the right quantities, to the right locations all at the right time.
  • In charge of the day to day operations of the transport department.
  • Efficiently managing a team of drivers and vehicles.
  • Responsible for all of the dispatching, routing, and tracking of delivery vehicles.
  • Dispatching complex and oversized goods to national and international destinations.
  • Ensuring company compliance of all transport policies, legislation and procedures etc.
  • Managing, monitoring and developing a team of drivers and line managers.
  • Involved in strategic development and strategy making.
  • Being the first point of contact for all drivers.
  • Making sure that all transport fleet vehicles are properly maintained and serviced.
  • Developing and nurturing customer relationships.
  • Maintaining accurate administrative records.
  • Giving drivers a full debrief, including tacho analysis.
  • Organizing vehicle checks.
  • Identifying operational issues, potential problems and opportunities.
  • Resolving and managing queries and complaints courteously and efficiently.
  • Appraising staff performance and also taking disciplinary measures when required.
  • Ensuring all site and customer objectives are achieved.
The Successful Candidate MUST meet the following Requirements:
  • Degree/Diploma in procurement or related field
  • Minimum of 3 years of experience in procurement and fleet management
  • Experience in vehicle fleet management
  • Commercial awareness of tendering and bidding processes
  • Highly motivated with strong organizational and time management skills.
  • Knowledge and understanding of tendering policies and procedures
  • Good attention to detail with high importance placed on accuracy.
  • Strong writing and proof reading skills
  • Able to prioritize and work well under pressure to meet strict deadlines
  • Excellent analytical and problem solving skills.
  • Ability to multi task, working on several projects at any one time
  • Quality focused
  • Flexible with working hours to ensure deadlines are met.
  • Excellent working knowledge of Microsoft Office applications
