Job Summary: The Truck / Bus
Drivers will be responsible for transportation of goods, refugees / returnees
and other persons or cargo authorized by the office.
They will maintain the truck/bus log books;
undertake minor repairs / maintenance and ensure that tools/equipment’s are
kept properly.
They will supervise and assist with loading
and off-loading of goods at the site upon arrival as well as when picking
goods.
Duties and Responsibilities:
·
Responsible
to drive Office trucks for transportation of goods, refugees/returnees and
other persons or cargo authorized by the office.
·
Responsible
to keep the truck to the highest standard by observing the maintenance
interval.
·
Carries
out daily inspection of the truck before starting the engine, checking
leakages, lubricant and water levels, checks wheels and tighten all bolts and
nuts.
·
Undertakes
minor repairs/maintenance of the truck.
·
Ensures
that truck’s tools/equipment’s as well as all official documents are kept
properly.
·
Make
sure that truck’s gauges are working properly and that any dysfunction is
immediately reported to the Logistics Officer.
·
Taking
account of all available information on roads conditions, accessible routes and
locations.
·
Completes
the truck’s logbook correctly and conscientiously in accordance with AAH
standards.
·
Ensure
the cleanness of the truck
·
Assistant
with any other work assigned by the office.
·
Cleans
the interior and exterior of the vehicle(s) regularly.
·
Checks
oil, water, brakes and brake liquid, tyre pressure, battery levels and the
entire vehicle monthly or every 5,000 km (whichever is first), head lights,
brakes, body work for dents etc.
·
Responsible
for the truck documents and their good condition, keeping the logbook and
monthly maintenance records.
·
Update
the ration card when refuelling the truck from any Fuel Station.
·
Reports
need for service and carries out minor repairs.
·
Immediately
reports all involvement of the truck in accident, including minor accident
damage, loss or theft of fittings.
·
Respect
speed limit while driving, especially in towns.
·
Ensure
that security measures are respected and that traffic regulations are observed.
·
Any
non-authorized modification of truck’s tachometer will result into termination;
this applies also in case of truck’s fuel stealing and none authorized cargo
loading.
·
Responsible
to use all available information (including current radio news on traffic
conditions) to update daily knowledge of road conditions, current passable
routes and locations, and shares the information with other office drivers.
Expected Results
·
All
trucks are correctly used for transportation of goods, refugees/returnees and
other persons or cargo as authorized by the office.
·
Highest
maintenance standard and interval are observed.
·
Daily
inspection of the truck before starting the engine, checking leakages,
lubricant and water levels, checks wheels and tighten all bolts and nuts.
·
Truck’s
tools/equipment’s as well as all official documents are kept properly.
·
Truck’s
gauges are working properly and that any dysfunction is immediately reported to

Qualifications
·
Secondary
School Education
·
Holds
a valid driver’s license
·
At
least 1-3 years’ work experience as a driver.
Skills and Competencies
·
Good
knowledge of English.
·
Discipline

Familiarity
with city, region
·
Appropriate
appearance and attire and be friendly with all passengers.

Ensure
unrestricted availability of vehicles at all times and reports restrictions

Job
Summary: The Warehouse Officer will direct all
aspects of procurement management functions including implementing purchase
plan.
S/he
will also be responsible for managing the Warehouse Staff and facilities and
ensuring that safety is always observed and warehouse well secured.
S/he
will check and inspect all goods received/issued for quality and specification
as per bill of loading / packing list / waybills / invoice / store requisition
and ensure proper recording.
Duties

Preparing stock report on weekly /
monthly basis and ensuring that records are well maintained.
·
Ensuring that safety is always
observed and warehouse well secured.
·
Inventory is done to ascertain the
correctness of stock with records at any point in time and for damages or
otherwise.
·
Participates in the selection of
suppliers in the tender committee and conduct a comparative analysis on
supplier prices.
·
Reviews and evaluates the performance
of the suppliers.
·
Verifies that the required order is
within the agreed budget.
·
Ensures the proper processing of
procurement requests from programs.
·
Ensures the timely delivery of
quality products and services at the lowest possible cost:
·
Submit final invoices to the Finance
and Accounts Department for payment
·
Ensures the proper management of
procurement department operations in the absence of the operations manager.
·
Assist Logistics Officer while he is
away on leave/other assignments
Expected
Results
·
Performance of Warehouse Staff is to
the expected AAHI standards and security of the facilities is secure and safe.
·
All goods received/issued are checked
for quantity and specification as per bill of loading / packing
list/waybills/invoice/stores requisition and are properly recorded.
·
Regular Inventory conducted to
ascertain the correctness of stock with records at any point in time and for
damages where needed.
·
Award and manage the contract during
the post-award period by monitoring completion timelines and approved contracted
budget, ensuring key performance indicators are documented and tracked.
·
Prepare medium complex Procurement
Plans and propose a Procurement Strategy and issue tenders and contracts for
goods, equipment and services.
·
Lead the procurement committee
members and ensure that different options and outcomes are considered.
·
Keep abreast of best practices and
makes recommendations for continuous process and policy improvements.
Qualifications
·
University degree in Supply chain
management/Business Administration or equivalent.
·
Minimum 5 years’ professional
experience in supply chain management or comparable role.
Skills
and Competencies
·
Experience in Procurement / Logistics
/ Warehouse management
·
Very good working knowledge of ICT
technologies.
·
Ability to take initiative and work
independently
·
Good organizational and team skills.
·
Knowledge of sourcing and procurement
techniques as well as dexterity in “reading” the market.
·
INGO experience and understanding of
humanitarian sector- an added advantage.
