Administrative / Personal Executive Assistant Job in Nairobi Kenya (KShs 30K - 40K)

Position: Administrative / Personal Executive Assistant

Report To: Managing Director
 
Location: Nairobi
 
We are well known events company in Kenya whose main is to deliver great service to our customers/clients. 

We are seeking qualified applicants to join our professional team. 

The successful candidate should have strong ethic, good communication skills and ensuring our high standards level are met. Should be presentable and smart.

Duties
  • Maintain proper filing of sensitive and confidential information in electronic and paper form and must have the ability to extract, analyze, interpret and display data as required.
  • Manage and maintain the MD’s dairy-appointments, meetings and events.
  • Managing and maintaining effective, efficient and effective communication channels between the office of the MD and other parties including support units and external customers.
  • Handle MDs correspondence on email, paper mail and phone calls.
  • Coordinate meetings that involve the MD and take minutes when required.
  • Coordinate domestic and international travel arrangements for the MD.
  • Action all directives given from the MD as and when necessary.
  • Supervise the office messengers and assistants.
  • Responsible for responding to all online requests for quotation from clients through the company’s website.
  • Act as office manager and respond to the clients inquiries
  • Ensure confidentiality is maintained.
  • Make reminder calls to clients.
  • Basic maintenance of office equipment and stationery.
  • Carry out office duties including reception duties for the CEO in a professional manner.
  • Any other duties as assigned.
Qualifications and requirement
  • At least 2-3 years’ experience 
  • A diploma in Secretarial, Business Administration
  • Diploma or certificate in Customer Service will be an added advantage
  • Prior experience as Personal Assistant a must
  • Computer literate
  • Presentable and smart with pleasant personality
  • Fast learner
  • Strong presentation and communication skills
  • Able to multitask and attention to details
  • Able to work for long hours with minimum supervision
