Responsibilities


Staffing and onboarding

  • Ensure that prior to hiring that there are approvals for hire.
  • Positions openings have been communicated.
  • Where a job description in not in place, guide the HOD to develop one.
  • Appropriate selection process and criteria are done as per processes in place.
  • Conduct selection process.
  • Manage transitions of staff from one department to another and ensure proper documentation is maintained.
  • Process offers letters/contracts for successful candidates in liaison with the Head of HR
  • Conduct reference checks for all successful candidates and provide a feedback report to HOD hiring.
  • Communicate reporting date to successful candidate and all documentation required on their first day.
  • Send out regrets to unsuccessful candidates.
  • Carry out training on recruitment process as and when required.
  • Develop an onboarding plan for new staff using the onboarding template.
  • In liaison with the Admin Lead, ensure onboarding is facilitated and feedback on the process from the key stakeholders collected and actioned.

Performance Management

  • Disseminate annual performance appraisal calendar.
  • Ensure each staff has KPI documented.
  • Support performance appraisals every quarter and each staff has documented feedback.
  • Ensure teams are adhering to the performance policies put in place.
  • Monitor contract lapses and transitions of staff and trigger for review and updating.
  • Ensure documentation of all Performance Improvement Plans (PIPs) are available in staff files.
  • Communication and Coordination
  • Ensure staff issues logged through email or other HR channels are addressed by relevant persons.
  • Support teams in coordinating their activities to accomplish targets.

HR Services

  • Maintain official staff personal files and ensure they are up to date on hard copy and on the HRMIS.
  • Ensure there is a leave plan for each department at the start of each quarter.
  • Ensure leave is properly managed and accurate.
  • Ensure that all inquiries in the HR office are dealt with promptly and courteously.
  • Ensure and coordinate employee safety, welfare, wellness and health reporting and employee services.

Learning and Development

  • Communicate all training dates and updates.
  • Update employee information on training on the HRMIS

Health and Safety

  • Ensure up to date records on all accidents and incidents.
  • Monthly reports on reported incidences and resolutions are reported.

Employee Relations

  • Document all received complains and ensure they are responded to.
  • Ensure complete documentation for all disciplinary cases and ensure the process is followed.
  • Support in training managers and supervisors on employee relations.
  • Keep an up-to-date tracker of disciplinary cases and their resolutions.
  • Share a monthly report on the 30th of each month based on the tracker.

Offboarding

  • Ensure documentation is available for all terminations and properly filled.
  • Ensure staff go through clearance process.
  • Ensure payment of final dues within the stipulated period and staff are issued with certificates of service.

Payroll

  • Process payroll and ensure accurate staff data

Compliance

  • Keep up to date employee files both in hard copy and the HRMIS.
