Duties and
Responsibilities
As Senior Office
Administrator will be deployed to work for a Head of Department. Duties and
Responsibilities at this level entail: taking oral dictation; using e-office
for research and process data; operating office equipment; attending to
visitors/clients; handling telephone calls; coordination schedules of meetings
and appointment; ensuring security of office records, equipment and document,
including classified materials; preparing responses to routine correspondence,
managing office protocol and etiquette, managing petty cash; monitoring
procedures for record keeping; of correspondence and file movement; maintaining
an up to date filing system in the office; coordinating travel arrangement;
handling customer inquiries and complaints; supervising junior staff, establishing
and undertaking any other office administrative service /duties that may be
assigned.
Requirements
- Served in the grade of Office Administrator for a minimum of
three (3) years
- Diploma in secretarial Studies from KNEC
OR
- Business Education Single and Group Certificate (BES &
GC) Stages I, II, and III from the KNEC in the following subjects; Typewriting III/ Computerized
Document Processing III, Business English III/ Communication II, Commerce
II, Office Practice/ Office Procedures II, Information Communication and
Technology III, Foundation of Accounting I, Financial Accounting II,
Shorthand I, Office Administration and Management III, Secretarial Duties
II
- Certificate in Customer care
- Certificate in Computer Application; MS Word, MS Excel MS
Access MS Powerpoint and MS internet from a recognized institution
- Demonstrate professional competence in office administrative
service.
