About the Role

Regen Organics is looking for a Project Associate who will be responsible for ensuring that the activities of projects are running smoothly and properly implemented by providing administrative coordination support to assigned projects. 


Duties and Responsibilities

  • Develop and maintain sustain and strategic projects action lists and meeting agendas.
  • Schedule, connect, attend, and document regular sustain projects performance dialogues.

  • Schedule, connect, attend, and document regular strategic projects deep dive meetings.
  • Maintain responsibility for file management, dissemination of programmatic and team information, and update work instructions for the sustain projects process.
  • Escalate new issues identified for project initiation by GM Planning & Analysis.
  • Gather information needed from project owners for project prioritization.
  • Lead project team performance dialogues (team accountability meetings), facilitate the discussion and problem solving.
  • Proactively engage all team members in the team discussions and work to instill a positive culture of engagement across the project team.
  • Maintain and update projects performance dialogue boards; ensure the completeness and reliability of projects data and coherency from different sources.
  • Monitoring projects performance to ensure excellence and adherence to specified deadlines.
  • Facilitate project managers to create and maintain projects documentation.
  • Actively review project schedules. Proactively ask questions when elements of the schedule are not clear, and develop confidence that you understand the schedule well enough to track progress and proactively identify deviations from the plan.
  • Provide regular reporting on projects budget vs forecast, request approval for contingency allocation, and escalate potential budget over-runs or areas for saving.
  • Facilitate projects closeout with project leadership and key stakeholders.
  • Oversee delivery of small projects. Usually 1 project at a time, maximum 3 small projects at any one time. Key project metrics (budget, resource allocations, delivery timeline) will be defined by others and provided to the Junior Project Manager.
  • Recognise that projects are often complex and ambiguous and that successful project delivery requires a project manager to be proactively identifying and working to resolve issues as they arise. You will expect issues, apply creative thinking to solve the issues you can, and escalate issues and ideas for resolution to your Team Lead if the problem is larger than you can solve alone.
  • Learn and implement new processes and approaches as they are developed across the organisation to improve the effectiveness of the project delivery framework.
  • Maintain standardized project management practices by updating work instructions, instituting defined, repeatable processes and standards, and monitoring and controlling to ensure that these practices are followed.
  • Provide and arrange Project Management Training for the sustain projects team on new work instructions, new tools and project delivery framework.

Qualifications

  • Bachelor’s degree in project management, business administration, or operations management.
  • Demonstrable experience managing projects or as a junior project manager or similar
  • Vast knowledge of important elements of project management, i.e. the project description, the project span, quality, needed resources, possible risk, relevant regulations and guidelines, most viable options, relevant tools, and methods available for execution.
  • Top-notch supervision, delegation, and capacity development abilities
  • Familiarity with tools and metrics needed to evaluate project performance
  • Forethought, with the capacity to identify and minimize risks
  • Demonstrated proficiency in G-suite applications and MS Office
  • Meticulous attention to detail with superb organizational skills
  • Exceptional communication and organizational skills required with the ability to work well with all levels of employees and internal departments in a diverse environment
  • Ability to work with strict deadlines
  • Ability to prioritize task, multitask, and work in a fast-paced environment
