Responsibilities
Duties and responsibilities at this level will entail:-
- Guiding
and supervising Assistant Office Administrator.
- Managing
office petty cash; and
- Handling
protocols and confirming travel itineraries;
- Handling
telephone calls, inquiries and appointments;
- Responding
to correspondences; attending to visitors/clients;
- Operating
office equipment;
- Planning
and organizing meetings, workshop/conferences and seminars;
- Processing
data and managing E-office;
- Ensuring
security of office equipment, documents and records;
Qualifications
For appointment to this grade, a candidate must have:-
- A
minimum period of four (4) years relevant work experience;
- Bachelors
degree in Secretarial Studies, Business Management/Administration or any
other equivalent from a recognized institution;
- Pass
the following examinations from the Kenya National Examinations Agency
(KNEC);
- Typewriting
III (Minimum 50 w.p.m.)/Computerized document processing III;
- Shorthand
III (120 w.p.m.);
- Business
English III/Communications I;
- Office
Management III/Office Administration and Management III;
- Secretarial
Duties II; and
- Commerce
II.
- Certificate
in supervisory Course lasting not less than two (2) weeks from a
recognized institution;
- Proficiency
in computer applications;
- Shown
merit and ability as reflected in work performance and results; and
- Fulfilled
the requirements of Chapter Six of Constitution.
