Position: Executive Assistant to the MD

Location: Nairobi
Job Description
Our Client, a Banking Institution is seeking to recruit an Executive Assistant to the MD.
Responsibilities
  • Provide a high quality management and functional support to the MD
  •  Effective management of the diary, assessing priority of appointments and reallocation as necessary
  •  Provide support for an extensive range of meetings. This will include preparing agendas, premeeting briefings and meeting papers, noting action points and following them up
  • Preparation of management and company presentations
  •  Occasionally receiving and dealing with telephone calls professionally and sorting out business
    issues and deals
  •  Sorting, distributing and responding or drafting responses to incoming mail in a timeous and
    efficient manner
  •  Organizing and maintaining effective management and document filing systems
  •  Acting as a key liaison point between the MD and other key business parties
  •  Ensuring travel arrangements, booking accommodation etc are professionally managed
  •  Providing high quality and professional office hospitality to visitors
  •  Provide full range of secretarial and administration support to the MD
Qualifications
  •  Be a holder of a University degree from a recognized University
  • Experience as an Executive Assistant to Senior management
  •  Excellent team working skills with the ability to work collaboratively and co-operatively with
    colleagues
  •  Exceptional interpersonal and communication skills, including the ability to ensure effective
    communication with a wide range of contacts both internal and external to the organization
  •  Ability to assimilate large quantities of written and verbal communication quickly and produce
    accurate, timely minutes and presentations
  •  Excellent attention to detail, including proof reading skills, with the ability to maintain a high
    level of confidentiality
  •  Demonstration of the ability to work under sustained pressure and to tight deadlines
  •  A flexible, pro-active approach to work including the ability to prioritize affairs
  • Ability to work on own initiative
  • Excellent IT skills including working knowledge of word processing, spreadsheet and presentationsoftware packages, preferably Microsoft Office Word, Excel and PowerPoint.
