Position: Executive Assistant to the MD
Location: Nairobi
Job Description
Our Client, a Banking Institution is seeking to recruit an
Executive Assistant to the MD.
Responsibilities
- Provide
a high quality management and functional support to the MD
- Effective
management of the diary, assessing priority of appointments and
reallocation as necessary
- Provide
support for an extensive range of meetings. This will include preparing
agendas, premeeting briefings and meeting papers, noting action points and
following them up
- Preparation
of management and company presentations
- Occasionally
receiving and dealing with telephone calls professionally and sorting out
business
issues and deals - Sorting,
distributing and responding or drafting responses to incoming mail in a
timeous and
efficient manner - Organizing
and maintaining effective management and document filing systems
- Acting
as a key liaison point between the MD and other key business parties
- Ensuring
travel arrangements, booking accommodation etc are professionally managed
- Providing
high quality and professional office hospitality to visitors
- Provide
full range of secretarial and administration support to the MD
Qualifications
- Be
a holder of a University degree from a recognized University
- Experience
as an Executive Assistant to Senior management
- Excellent
team working skills with the ability to work collaboratively and
co-operatively with
colleagues - Exceptional
interpersonal and communication skills, including the ability to ensure
effective
communication with a wide range of contacts both internal and external to the organization - Ability
to assimilate large quantities of written and verbal communication quickly
and produce
accurate, timely minutes and presentations - Excellent
attention to detail, including proof reading skills, with the ability to
maintain a high
level of confidentiality - Demonstration
of the ability to work under sustained pressure and to tight deadlines
- A
flexible, pro-active approach to work including the ability to prioritize
affairs
- Ability
to work on own initiative
- Excellent
IT skills including working knowledge of word processing, spreadsheet and
presentationsoftware packages, preferably Microsoft Office Word, Excel and
PowerPoint.
