Driver

Responsibilities
  • Carrying out driving duties as per ILRI Transport Management Policy and Kenya Traffic Act.
  • Drive vehicles safely and defensively to avoid any incidents or accidents
  • Before proceeding on field trips ensure all travel requirements are met and liaise with persons traveling with for instructions.
  • Continuously monitor condition of assigned vehicles while driving and promptly report defects.
  • Report assigned vehicles due for service by the Supervisor and filling a vehicle defect form.
  • Ensuring that the vehicle log sheets are filled on daily basis when the vehicle is in use.
  • Ensure that the vehicle checklist is filled on weekly basis.
  • Keep to the designated routes while driving.
  • Ensure all vehicle costs incurred while in the field are reported.
  • Ensure travel expense reports are surrendered in time after every field trip.
  • Actively participate in creating an atmosphere of team work within the unit by attending meeting, complying with the institutes policies and being a team player.
  • Helping in cleaning ILRI vehicles, including changing of tires.
  • Performing some administrative duties like, keying income recharges in the system, preparation of vehicle movement orders, fueling cars and any other similar duty he or she might be assigned by the supervisor.
  • Other duties that may be assigned that relate to Transport Unit operations.
Qualifications
  • Minimum of Kenya Certificate of Secondary Education (KCSE)
  • Minimum 5 years of Professional driving experience of light and heavy vehicles
  • Must have a clean and valid Kenya Driver’s license
  • Hands-on experience in maintaining repairing vehicles
  • Must have a valid certificate of good conduct
  • Knowledge of defensive driving is an added advantage
  • Good knowledge of spoken and written English and Kiswahili languages
  • Good interpersonal skills and ability to relate well with diverse culture
  • Reliable and ability to work effectively and respectfully

Executive Assistant

Responsibilities
Executive Management
  • Provide quality and high level confidential secretarial support
  • Facilitate effective utilization of the DDG’s time, through identifying priority matters

Qualifications
  • Master’s degree in business, public administration, or a related degree

Research Associate

Responsibilities
  • Represent the project with study participants, and maintain good relations with participating study communities
  • Undertake clinical examinations of adults and children participating in studies and record clinical findings, according to project protocols, and using electronic data recording tools
  • Undertake blood sampling from adult and child study subjects according to project protocols
  • Oversee the collection of fecal specimens from children and advise adult participants in appropriate self-sampling techniques
  • Assume responsibility for the delivery of field material to project laboratories
  • Undertake detailed socio-economic and behavioral questionnaires with study subjects

Qualifications

  • Experience with work on zoonotic infections will be an asset.

Stores Officer II

Responsibilities
  • To undertake the day to day supervision of Stores operations and staff so as to deliver a customer focused service in accordance with agreed procedures and being responsible for implementing the Stores Management Policies.
  • Carrying out comprehensive Stores functions relating to management of stocks that includes acquisition, verification of all receipts/issues to ensure they conform to the specifications as well as ensuring efficient distribution to user departments and timely updating of all transactions in OCS.
  • To ensure accurate accountability of all Stores transactions, reconciling physical stock with system stock record and bin cards, as well as ensuring that there are no stock-outs at any given time so that research work flows seamlessly and preparing weekly, monthly and quarterly Stores reports by extracting details from OCS.
  • To ensure that there is proper division and rotation of tasks within the Unit and creating an environment of learning and self-development, providing induction training to new staff in Stores policies/procedures as well as carrying out mid and end-year staff evaluations based on their KRA’s.
  • Preparing for Disposal Committee meetings and ensuring that decisions made by the Institute’s disposal committee in relation to Donations/Disposals of old Lab Equipment, Information Communication & Technology (ICT) Equipment, vehicles, furniture, farm animals and any other items that are due for disposal are fully implemented and quarterly disposal reports provided.
  • Work actively in promoting good employee relations, good communication and management of both internal and external relationships that includes support for both internal and external auditors during the mid and end-year stock-takes.
  • Goods-matching of all stock and non-stock items received in OCS in a timely manner for approval by budget holders to facilitate payments to suppliers.
  • Working closely with the Transport Unit in monitoring and ensure accurate updating of all fuel consumption records on daily basis and preparing monthly fuel consumption reports.
  • Organizing for quarterly stock-takes as well as keeping and maintaining a well, organized record keeping/filing system that includes management of records in OCS Stores Module.
  • Support change management at ILRI Stores Unit and Carry out other duties as may be allocated by the Senior Logistics and Stores Officer.
Qualifications
  • Bachelor’s Degree in Supply Chain Management, or Logistics management.
  • At least three years of experience in a similar post.
  • Professional qualifications in Logistics management from the Chartered Institute of Supply Chain management (CIPS) or any other recognized professional body.
  • Member of CIPS or KISM
  • Experience in using micro soft Computer packages

Transport Officer II

Responsibilities
  • Supervise drivers, transport assistant and vehicle cleaner by providing leadership support to them.
  • Organize and prepare the 4wd booking list and field trip roster for drivers to ensure fair distribution of the work.
  • Oversee the coordination of driver’s routine daily errands to ensure smooth flow of transport service.
  • Ensure Driving License, inspection stickers and insurance are always valid and displayed as per the policy.
  • Ensure that TAs are accurately filled by the drivers and approved before going on field trips and that liquidations / surrenders are done within a reasonable time after the trip.
  • Verify and approve driver’s overtime through the OCS System and recommend action to the supervisor/s as appropriate.
  • Ensure that accident reports and documentation is correctly filled out; submit the reports to the Insurance Company and follow-up on claims to completion for both pool/project vehicles.
  • Receive defect/check list reports from driver’s and advise the senior team on service/repair needs and facilitate the process of taking the vehicles to garage and do a follow and ensure they are back to the pool within a reasonable time.
  • Oversee preparation of fuel/ vehicle recharge reports through the OCS System and do a follow up with Finance to ensure the amount is credited in the transport account.
  • Carry two coaching sessions to assess abilities, skills, concerns, strengths, weaknesses and negotiate measurable performance target levels for the supervised team.  At the end of every year, carryout performance evaluation for the drivers, transport assistant and vehicle cleaner.
  • Monitoring the service providers to ensure that they provide efficient services and maintain good standards of the vehicles and do follow up on the renewal of their contracts oversee the payment of their invoices.
  • Replenish both pool/project vehicles fuel cards through Total Kenya to ensure the card always has enough fuel.
  • Support change management at ILRI Transport Unit and Carry out other duties as may be allocated by the Senior Logistics and Stores Officer.

  • At least 5 years’ experience in a similar position preferably from a Diplomatic organization.

The International Livestock Research Institute (ILRI) seeks to recruit a Program Coordinator to be responsible for the management, coordination and oversight of planning, implementing and communicating different program and projects within the “Transformation of Animal Health Services and Solution in Low to Middle Income Countries (TAHSSL)” initiative.
ILRI works to improve food and nutritional security and reduce poverty in developing countries through research for efficient, safe and sustainable use of livestock. It is the only one of 15 CGIAR research centres dedicated entirely to animal agriculture research for the developing world. Co-hosted by Kenya and Ethiopia, it has regional or country offices and projects in East, South and Southeast Asia as well as Central, East, Southern and West Africa (www.ilri.org).
The Program
TAHSSL will be formed through a strategic partnership to leverage the comparative advantages of the International Livestock Research Institute (ILRI), a CGIAR global livestock agriculture research for development center, ClinGlobal, an African based private contract research organization (CRO) that supports research and development (R&D) programs of Global Animal Health Companies (GAHC), and the Global Alliance for Livestock and Veterinary Medicine (GALVmed), a product and market development organization improving access to Veterinary Medicinal Products (VMPs) by smallholder farmers in Africa and Asia.
TAHSSL will build a “one-stop-shop” to conduct research on animal-health product technologies to generate robust proof-of-concept results that are of high quality and to facilitate with the private sector product development, registration and use. The focus will be on developing veterinary medicines and diagnostic solutions to address animal health disease constraints in low-middle income countries (LMIC) and providing services to help fill the product development pipeline.
Responsibilities
  • Manage the operational and tactical aspects of all TAHSSL projects – keep all partners of the platform up-to-date with relevant project information and ensure maximum efficacy
  • Lead the planning and coordination of the TAHSSL program and its activities
  • Responsible for overall project and program activity reporting ( including to TAHSSL Advisory Committee (TAC) and funding organizations)
  • Ensure the implementation of common policies and practices of all three TAHSSL partners through close collaboration with partner members of the TAHSSL Coordination Team
  • Responsible for TAHSSL budget and track expenditures and transactions – handle the TAHSSL related financial administration in close alignment with ILRI’s finance department
  • Help build positive relations within the tripartite platform and additional partners – schedule and organize the TAC, coordination and project meetings & minimize exposure and risk across multiple projects
  • Manage communications through media relations
  • Support scientists in proposal writing.
Qualifications
  • PhD in Live Science;
  • At least 10 years’ experience in coordinating multi-disciplinary and multi-partner projects;
  • Thorough understanding and experience of Animal Health issues in LMICs, especially infectious disease control and treatment;
  • Proven track record of successfully managing multi-disciplinary and multi-partner programmes ensuring efficiency and effectiveness;
  • Proven track record in successfully managing multiple donors;
