Administrative Assistant

Job Description
Responsible for supporting the smooth running of the school through managing records/ documents/ files/ supplies, handling enquiries, and conducting other related administrative/ clerical activities.

 Responsibilities
• Handle student and others’ enquiries as a first point of contact in the school. Provide first level guidance on credit transfers, unit selection, procedures for submitting class work, access to course materials, distance learning, and any other matter
• Manage records, documents and files for the school, closely working with the registrar department
• Manage supplies for the school. Order or obtain materials needed for classes and teaching. Duplicate materials when required for classroom use
• Assist in the collection of assessments from students on time, reporting on any delays and non-submission
• Answer phone calls for the school and direct calls to appropriate parties or take messages when necessary
• Open, sort, and distribute incoming correspondence, including faxes and email. Prepare responses to correspondence containing routine inquiries
• Support in data collection used for evaluating students’ and curriculum needs

Job Description
Responsible for the finding, agreeing terms, and acquiring of quality goods, services or works often via a tendering or competitive bidding process, to support the University’s delivery of services to both its external and internal customers.
Responsibilities
• Develop procurement strategy, program, policy, procedures, plan and guidelines
• Establish and manage a suppliers’ master data list by analyzing requests for quotation from various departments, market conditions, present and future material availability and merchandise price. Communicate list of approved preferred suppliers/vendors/ service providers to the management and employees
• Oversee the process of tendering by chairing the bid evaluation committee and prepare a consolidated report on the bid process. Review, evaluate, and approve specifications for issuing and awarding bids
• Lead the contract negation and contract signing with preferred suppliers for future procurement on agreed terms and conditions. Review purchase order claims and contracts for conformance to company policy and signing memorandum of understanding with approved suppliers for term of delivery, payment and other supply related matters
• Manage vendor and supplier relationships. Liaise with suppliers to clarify issues arising from the supplied product, scope/description, pricing, service level duration stated on contractual terms and conditions of purchase. Resolve vendor or contractor grievances, and claims
against the procurement amicably or by liaising with the University’s legal team
• Work with internal departments to assess the performance of outsourced agencies/ vendors/ suppliers, and to process the periodic settlement of fees as per pre-established terms and conditions
• Set overall methods to control inventory levels including minimum/maximum levels, safety stocks and order policies for various types of materials
• Mentor, coach and supervise subordinate staff

Job Description
The University Secretary and Chief Legal Officer is the head of the corporate legal services and the corporate secretariat services and is responsible for the legal affairs of the entire University. This role includes providing legal counsel to the Council and Board of Trustees, the Vice-Chancellor, Senate and Management Board.
 Responsibilities
• Develop university secretariat strategy, program, policy, procedures, framework, plan and guidelines
• Periodically review the effectiveness of the University Council, Management Board, Senate, Committees, and related governance organs
• Manage procedures for the recruitment and induction of new members into the governance organs of the University. Ensure each of these is properly constituted and congruent with University statutes and regulations
• Provide advice and guidance on the application and interpretation of the University’s governing documents and related governance processes and procedures as they apply to aspects of the University’s business. Also provide or obtain legal advice on various matters as and when requested
• Developing and leading corporate legal strategy to promote and protect the company’s matters
• Overseeing delivery of legal services and resources to accomplish corporate goals, strategies and priorities
• Maintaining proper corporate interactions with the relevant local, state and federal governmental bodies, legislatures and the community at large
• Advising the CEO and other senior corporate officers on a variety of issues
• Participating in the formulation of general management policy as a member of the executive management team
• Organize and distribute the agenda, coordinate, facilitate, and record minutes of the activities and discussions of the University’s governance organs and committees. Job Description

Supporting the Office of the VC in providing leadership across the University. At its core, the position of Director Corporate Services allows the Vice Chancellor to scale, giving her/him back most important resource; time. The Director of Corporate Services operates at a tactical, strategic and operational level, often handling the oversight of projects that do not neatly fit within the organizational chart or [that] fall between departments or leaders’ areas of responsibility. Specifically, the purpose of the function is to:
·         Ensure that the VC/CEO is always working on the most important items for the university
·         Help complete priority items for the VC to an appropriate level of quality
·         Keep the Vice-Chancellor accountable for commitments, while helping keep reports accountable for new ideas and proposals
·         Keeping the Vice-Chancellor accessible and open to new ideas and proposals
·         Managing, advising, and orchestrating all internal and external communications events and relations aimed at effective communication and creation of a favorable corporate image among the University’s stakeholders
Responsibilities
Direct Support of the Vice-Chancellor
• Setting the VC’s strategic priorities: Helping a leader identify the areas where they must direct their focus and identifying metrics for success. Revisiting regularly and evaluating progress.
• Strategically managing the VC’s time: working with the VC’s Personal Assistant, looking at long term travel calendar, evaluating opportunities and determining fit with priorities.
• Meeting preparation and follow up: reviewing upcoming meetings for the week to ensure the VC has all of the information needed to be as productive as possible and sending out agendas or documents to meeting attendees as necessary.
• Reviewing Internal and External Communications: drafting company newsletters, reports, pitch decks, speeches or presentations for the VC.
• Monitoring information flow: Sometimes acting as a gatekeeper, ensuring the VC’s involvement in a project or decision- making process at the right moment.
• Planning and leading company retreats, step backs, and other special events

Gatekeeper
• Assessing all inquiries directed to the VC and determining the proper course of action
• Determining which meetings take priority
• Vetting requests for time and routing requests to other departments as appropriate
Personal administration to the Executive:
• Manage personal relationships of the Vice Chancellor with senior external stakeholders (calls, correspondence, meetings, visitors…). Maintain the stakeholder relationship database accordingly.
• Coordinate sensitive issues upon request of the Vice-Chancellor.
• Assist the Vice-Chancellor as appropriate to prepare and edit communications, mails, letters, presentations and other documents (particularly ppt).
Administration of the Board of Directors:
• Support the Vice-Chancellor to organize the Council and Board meetings.
• Organize overall logistics support for Council and Board meetings: event preparation, document gathering.
• Prepare Management Board meetings and support as appropriate sub committees of the Management Board.
• Liaise with relevant heads/directors in charge of agenda items to ensure timely delivery of content and preparation of decisions.
