Main Purpose of the Job
Directly

To ensure pre-delivery inspections
and necessary repairs carried out before vehicle delivery

To ensure vehicle handovers take

Cost Control
·
To maintain effective control of
expenses in line with budget objectives

manufacturer/distributor so as to be aware of all discounts and sales

Administration

To ensure all clerical functions

Qualifications

Improved Profitability

Ensure the Service Department
achieves budget objective by continual (daily/weekly/monthly) examination of
accounts, operating controls and composite figures to allow the necessary
improvements and corrective action to be taken where variations occur, to
achieve the following:

Achievement of gross profit
percentages on labour sales to be not less than:
·
Target for retail mechanical service
and maintenance work
·
Target on warranty labour sales
·
Target on internal labour sales
·
To ensure parts sold through the
Service Department achieve a relationship of target parts per rand labour
sales.
·
To operate the Service Department
efficiently which will be measured by:
·
Target achievement of labour
utilisation
·
Target achievement of labour
productive efficiency
·
Target achievement of overall labour
sales efficiency
·
Ensure accurate invoicing and job
costing in the Service Department which will be monitored by the achievement of
a labour recovery rate of target
·
To ensure premises and equipment and
other assets are controlled and used effectively
·
To ensure all materials purchased are
controlled and sold at a profit
Customer Service and Satisfaction
·
To improve the quality of customer
service and retention by enhanced facilities, improved technical skills and
effective marketing. Customer satisfaction to be measured by the achievement of
target service retention
·
To ensure high standards of quality
workmanship which will be measured by target labour time accounted for by fault
rectification
Cost Control
·
To maintain effective control of
expenses in line with budget objectives by monthly examination of management
accounts to ensure total expenditure for the Service Department does not exceed
target of total labour sales
·
In conjunction with the achievement
of labour efficiency targets, maintain workshop productivity records to monitor
the effective use of labour. Lost time should be measured and should not exceed
target of total labour sales
·
Ensure all outstanding debts are
collected expeditiously
·
To ensure all Service Department
invoices are submitted to customers on collection of vehicles
·
Establish and monitor all training
requirements and costs to provide satisfactory levels of skill, job
satisfaction and cost-effective development of key personnel
Staff
·
To establish the levels of staff
required to achieve the established budgets
·
Interview, select, hire and train
Service Department staff
·
Select and appoint requisite
apprentices
·
Ensure that training standards are
fully maintained so that future manpower requirements are covered
·
In consultation with training
personnel establish training needs, plan programme and maintain records of
training. Ensure up-to-date and accurate documentation to allow grant
redemption
·
Establish training programme to
update technical staff
·
Establish and administer
‘in-dealership training’ policies as required to provide the recommended
standards of service
·
Operate staff performance appraisal
systems and ensure action taken on results
·
Establish and review salary scale and
incentive schemes used in service department
Administration
·
Ensure all clerical functions within
the Service Department are carried out in accordance with policies (warranty
claims, customer follow-up, workshop loading, estimating, invoicing, daily
operating controls)
·
Review with Aftersales General
Manager all departmental activities and reporting systems
·
Establish adequate safety and
security procedures to protect property and company personnel
·
Check all workshop equipment for
condition and accuracy of diagnosis
·
Administer warranty policy in the
best interests of dealership, manufacturer and customer
·
Ensure adequate maintenance of the
Service Department
·
Ensure adequate maintenance of tools,
equipment and other materials in the Service Department
Communications
·
Maintain effective liaison with all
other departmental managers
·
Advise Aftersales General Manager on
all service-related matters
·
Maintain direct liaison with
manufacturers, suppliers, statutory representatives and all other contacts
·
Advise as required on mechanical and
diagnostic problems
·
Implement new vehicle preparation and
used vehicle reconditioning according to company policy
·
Provide vehicle appraisal as required
by the Sales Manager
Marketing
·
Draw up and initiate service
marketing plans
·
Instigate and operate advertising and
promotional activities
·
In collaboration with Sales
Department, establish system and method of ensuring all vehicle buyers/owners
are introduced to Service Department and key personnel
·
Maintain record of customer
complaints and/or congratulations for use and action as required
Finance
·
Review all pricing policies, labour
rates, fleet discounts, parts pricing and all other company policies
·
Monitor workshop productive
performance daily, by total and individual technician/mechanic
·
Monitor Service Department financial
performance weekly
·
Monitor all warranty claim
submissions and requisite credits and take action as required
Qualifications
·
Technical skills, knowledge and
experience
·
Ability to control clerical work,
administration, organisation, systems and financial matters, leadership ability
·
Up-to-date knowledge of vehicle
legislation, consumer legislation and trade practices
·
Technical and engineering

transactions are accurately recorded and registered with Sales Administration

To review daily activities,
promotions, sales, targets and other activities with Sales Manager

To ensure all payments for vehicles
are complete and correct for each transaction. Ensure approval of any new
finance agreement

To ensure observance of safety and
security of people, vehicles and property at all times, reporting any known
faults or hazards
Communications
·
To ensure utmost clarity in all
contact with customer

To ensure that customers’ needs are
accurately qualified

To establish and maintain a rapport
with all customers that enhances their image of the company

To ensure the Sales Manager is aware
of all transactions, proposals and whereabouts on all occasions

To liaise with Sales Manager to
ensure availability of cover when demonstrating vehicles to customers

of delays, changes in requirements and specification of vehicles outstanding,
ensuring smooth conclusion of vehicle handover
Marketing

To participate in planning sales
campaigns and promotions to maximise sales penetration
Finance

To discuss any pricing policy changes
affecting vehicle sales daily with Sales Manager
Qualifications

To be capable of conversing with
people in a lucid and pleasant manner

To have the ability to qualify
customers, overcome objections and to close a sale

To hold a clean driving license

vehicle legislation, consumer legislation and trade practices
