Filing Clerk


Job Summary
You will work with both paper documents and electronic files and do routine tasks like data entry,
organization, cross referencing, scanning, copying and retrieval. Your job will be to maintain the documents data base, and help other employees find documents and files they are looking for or help make sure that all documents are stored and labelled correctly for later use. You must be organized and possess a serious understanding of confidentiality and data protection. The ideal candidate will be skilled in computers and detail oriented. The goal is to
preserve company records and manage paperwork effectively.

Responsibilities
·         Check incoming paperwork (Correspondence, invoices etc.) and make copies before distributing.
·         Ensure all new documents and paperwork are filed and logged properly into the electronic system.
·         Index documents with numbers or codes before filing.
·         Sort all papers alphabetically and according to content, dates, significance etc.
·         Store all paperwork in designated places securing important documents.
·         Maintain a log of all outgoing files to ensure documents are returned in time.
·         Develop an efficient filing system to make updating and retrieving files easier.
·         Follow policy and confidentiality guidelines to safeguard data and information.
·         Monitor inventory of files, paperclips etc. and ensure enough stock is in place.
·         Conduct routine verification to ensure integrity of filing system.

·         Handle all inquiries related to paperwork and documents.

Sales Executives

·         Identify sales prospects and follow-up on new leads andreferrals resulting from field activity.
·         Ensures permanent observation of the market and competitors,involvement in analysis of competitors and statistics.
·         Reviewing sales performance on weekly, monthly, quarterlybasis; with the aim of meeting or exceeding targets
·         Maintain thorough knowledge of company’s products andservices.
·         Prepare forecasts, sales budgets and reports includingactivity, closings, follow-up and adherence to goals.
