Our client is one of the largest
manufacturer and distributors of assorted beverages.
They seek to hire an experienced
Stores Supervisor who will be tasked with overseeing smooth running of all
stores activities, collaborating with other departments in terms of material,
insurance, and fuel management.
Responsibilities
·
Receiving goods from suppliers
·
Issuing of company assets (coolers)
and maintaining track record of the same
·
Monitoring all stores transactions
through overseeing that each and every document has been captured in the stock
movement.
·
Overseeing and supervising store
staff.
·
Raise purchase requisition for all
raw materials.
·
Oversee that receipts of all raw
material are done procedurally.
·
Conducting regular audits of stores
physical and practical condition to ensure quality
·
Coordinating cooler repairs within
Nairobi and upcountry.
·
Overseeing that fleet materials are
received and issued accordingly.
·
Making sure that company disposal materials
are done procedural
·
Oversee fuel management (receiving
from petroleum companies and overseeing distribution to company vehicles).
·
Organize daily, weekly, monthly and
annual stock taking exercises and reconciliation.
·
Implement improvement processes and
systems to reduce inventory shortage , minimize
·
Costs and maximize working capital.
·
Creating, analyzing and maintaining
inventory levels within set parameters for Minimum/maximum quantities, while
periodically reviewing to adjust for changes in business and inventory needs.
·
Overseeing that inventory is moved by
scheduling materials to be moved to and from warehouse, coordinating inventory
transfers with related departments.
·
Maintaining storage area by
organizing floor space, adhering to storage design principles, and recommending
improvements.
·
Working within re-order levels and
ordering at the right time.
·
Monitoring and implementing all
customer complaints either in terms of quality and deliveries.
Qualifications
·
Diploma in purchasing and supply
Management
·
Degree in procurement/ supply chain
management will be an added advantage.
·
Must have at least 3 years’
experience at supervisory level in stores/ warehouse environment
·
Must be computer literate
·
Knowledge on storage technics
·
Knowledge on data handling, security
and management
·

Job Title: Accountant – Payables (FMCG)

client is one of the largest manufacturer and distributors of assorted

They
seek to hire an experienced Accountant – Payables who will be tasked with
supporting the Senior Accountant in the execution of accounting processes.
Responsibilities
Financial
Accounting Control
·
Ensure that all accounting entries
are accurate and verified by the Senior Accountant before posting it in the
system.
·
Ensure that all import bills and
suppliers’ invoices are accurate and properly accounted within the stipulated
period.
·
Ensure that all journal entries are
approved by the Senior Accountant and FM before posting it in the system.
·
Ensure that all accounting entries
and cheque payments are prepared and posted timely and accurately in the
system.
·
Ensure that end of every period
closure the ageing report of vendors is scrutinized and sent to the Senior
Accountant\FM for MIS reporting.
·
Ensure that all petty cash vouchers
are correctly posted in the system as and when the reimbursement level is
reached.
Treasury
and Banking Controls
·
Provide a daily report on the fund
position.
·
Prepare the bank reconciliation
statements daily for all the current accounts.
·
Ensure that the cheques issued are
posted in the cheque issue register.
·
Ensure that all petty cash vouchers
are reimbursed accurately.
·
Ensure that (RTGS) Real time gross
settlement and bank transfers are done accurately and timely.
MIS
·
Ensure that the daily report on the
fund position is circulated by 9 AM every morning.
·
Ensure that the month end closure
procedure for expense provision is strictly adhered in terms of time lines and
accuracy.
·
Ensure that end of every period
closure the ageing report of vendors is scrutinized and sent to the Senior
Accountant\FM for MIS reporting.
Fixed
Assets Control
·
Ensure that documents relating to
asset acquisition are filed separately for statutory audit and government audit
purposes.
·
Ensure that all new additions to
assets have been labeled with the numbers appearing in the fixed asset
register.
Inventory
Control
·
Conduct a physical check of
Concentrates, Sugar and Crowns every Monday.
·
Consolidate the physical stock
statements of Concentrate, Crowns Sugar and Fuel against the book stock on
Tuesday.
·
Highlight the variance to the Senior
Accountant.
Month
End Financial Period Closure Controls
·
Ensure all import related invoices
and vendor invoices are properly accounted.
·
Ensure that all assets acquired in
the relevant period are properly capitalized.
·
Ensure that all month end provisions
are adequately provided to the Senior Accountant.
·
Ensure that all vendor accounts are
reconciled properly.
·
Ensure that the salary payable
control account and employee statutory liabilities have a nil balance after the
salary and statutory dues are paid.
Statutory
Audit Requirements
·
Coordinate with the auditors for
physical verification of Crowns, Concentrates and Fuel.
·
Circularization of vendor balances
and obtaining confirmation as required by statutory auditors.
·
Complete all schedules and tie them
with the Trial Balance within 30 days from the date of closure of the yearend
financial accounting period.
·
Coordinate with the auditors during
the audit and provide them all the information requested by them.
Internal
Audit Requirements
·
Provide all the information and
support requested by the Internal Audit Team.
·
Ensure strict adherence of all the
recommendations of the Internal Audit Team.
Statutory
Compliance Control
Ensure
that the following returns are scrutinized for their accuracy and filed with
the Government Authorities on or before the prescribed date.
·
VAT Return
·
PAYE Return
·
NSSF, NHIF, HELB, DIT Returns
·
Withholding Tax Return
·
Any other periodic statutory returns
·
VAT Withholding
·
Standard Levy.
Other
Areas of Control
·
Keeping a diligent eye on cost saving
measure.
·
Ensure compliance of responsibility
and authority matrix documents.
·
Interface with the IT Manager as and
when required for change in system policies.
·
Any other financial area that is
assigned by the management.
Qualifications
·
Diploma in any field related to
finance or Degree in Business management –Finance option would be added
advantage.
·
Certified public Accountant Kenya
·
3 years of experience in the field of
Finance.
·
An acute inner sense of evaluating
customers based on their track record.
·
Proficient in computer usage and knowledge
of ERP systems (Both Sage & Navision)
·
Team player, who works well across
functions and levels
·
Experience in the Soft Drinks
business would be an added advantage
Key Performance Indicators
·
Suppliers’ invoices are accurate and
