Duties and Responsibilities:
Under the direct supervision of the Logistics Associate and the overall supervision of the Head of Area Office, the incumbent will be responsible for the following duties:
·         Receive and verify invoices from transporters and service providers and ensure all supporting documents are received;
·         Ensure weekly invoice status report is prepared and submitted on time;
·         Prepare the Consolidated Delivery Report (CDR) generated from the corporate commodity tracking system (LESS) and other supporting documents required for invoice processing;
·         Work closely with the warehouse team to ensure no discrepancies exist between the LESS and Invoices;
·         Reconcile and monitor entries posted in the corporate Invoice Tracking System (ITS) on a weekly basis to ensure that all items are current in terms of age as well as in progress in settlement;
·         Ensure timely clearance of invoices at Area Office and facilitate onward forwarding to the Nairobi Liason Office for payment;
·         Participate in monthly physical stock inventory activities;
·         Provide support to logistics operations and activities to ensure the effective delivery of food assistance to beneficiaries;
·         Prepare various reports as requested by supervisor;
·         Assist in the capturing of receipt commodities in the system when required;
·         Maintain filing systems and archives for swift and easy retrieval of information;
·         Share knowledge and experience with other staff members and work to foster a team spirit;
·         Perform other related duties as required.
Minimum Qualifications:
Education: Completion of secondary school education. A post-secondary secondary training or certificate in the related functional field is desirable.
Experience: At least three years of progressively responsible support experience including at least one year in the field of accounting, insurance, statistics and logistics operations.
Language: Fluency in both oral and written communication in English and Somali is a requirement.
Knowledge: Has demonstrated an ability to perform all routine Logistics activities in line with WFPs operating standards through day-to-day work. Proven knowledge and experience in using computer software is desirable. General knowledge of UN system policies, rules, regulations and procedures and in the area of work.

Duties and Responsibilities:
Under the direct supervision of National HR Officer and the overall supervision of Head of HR Unit.
The incumbent will be responsible for the following duties:
·         Provide assistance on a wide range of complex HR queries and follow up actions to ensure consistent and high quality HR services are delivered to clients;
·         Receive and review recruitment requests, verify that supporting documentation to initiate recruitment process are in order, and draft Vacancy Announcements and issue them to the agreed channels maintaining accurate documentation;
·         Review and compile a variety of data on staff recruitment and selection, contractual conditions, entitlements, performance and training requirements, workforce, etc., to support analysis and reporting needs particularly timely analysis and reporting of recruitment key performance indicators;
·         Following set procedures, receive, analyze and screen candidates’ applications using set benchmarks, prepare shortlists and submit them to the hiring units. Proactively follow up on response from the hiring units;
·         Ensure that WFP issued human resource and personnel policy manuals, rules, regulations, guidelines, and circulars, are complied with and inform the supervisor of any breach or irregularities in the selection process;
·         Prepare a range of complex HR documentation required for the specific area of work (e.g. note for the records, Local Recruitment Committee/Local Appointment and Promotion minutes, reference checks, etc.) ensuring accuracy and meeting established deadlines;
·         Use HR management systems for reviewing, entering and updating a variety of HR data including monitoring various deadlines; particularly in the area of recruitment and selection and ensuring compliance with the established deadlines and accuracy of HR data;
·         Co-ordinate the maintenance of confidential personnel records, HR databases and archives, to ensure data and files are accurately stored and updated in compliance with the established standards including preparation and updating of standard operating procedures under area of responsibility;
·         Supervise and provide guidance to junior staff in the recruitment cell, support rapid recruitment and deployment of staff, and handle related administrative actions including preparation of reports;
·         Support in workforce and succession planning through identifying upcoming gaps and means to fill them and contribute to gender parity targets and initiatives;
·         Support activities in the areas of work in compliance with relevant processes and procedures including reclassification of positions and maintaining/updating of recruitment master plan;
·         Analyse and respond to various internal and external queries to ensure that clients are well informed and that HR team activities are aligned with broader WFP objectives.
·         Any other duties as may be required.
Minimum Qualifications:
Education: Completion of secondary school education, and post-secondary qualification in Human Resource Management, International Relations, Psychology, or related field.
Experience: At least five years progressive work experience in the field of Human Resources, including direct experience in recruitment and selection and the use of e-recruitment tools. Previous work experience in the UN system/WFP is desirable.
Prior work experience in emergency settings is an advantage.
Language: Fluency in both oral and written communication in English.
Knowledge and skills:
·         Knowledge of HR business processes, procedures and tools;
·         Effective interpersonal, teamwork and organizational skills;
·         Proven ability to work independently and cross-functionally with different partners

Duties and Responsibilities:
The Human Resources Associate will report directly to the Head of the HR Unit and work closely with the entire team.
The incumbent will be responsible for the following duties:
·         Contribute to staff wellness and a conducive, healthy working environment, This includes effective administration and resolution of medical cases and health-related issues in close collaboration with medical services and the staff counsellor; preparation and implementation of annual staff wellness plan with related activities ( e.g. health talks, workshops etc.);
·         Coordinate and facilitate medical travels and evacuations from Somalia with relevant stakeholders including Security; Administration, Medical Services and Country Office Management. Organize briefings for staff on medical coverage, insurance plans, benefits and entitlements;
·         Contribute to talent acquisition through the recruitment and management of international consultants (including selection & recruitment, preparation and administration of contracts, handling HR system actions, advising selected candidates on employment conditions, remuneration and related entitlements, on boarding and exiting);
·         Support and deliver on boarding for new staff joining WFP, including but not limited to international consultants, to ensure that relevant processes are followed and the conditions of terms of service are explained and understood;
·         Provide assistance on a wide range of complex HR queries and follow up actions, to ensure consistent and high quality HR services are delivered to clients;
·         Allocate responsibilities and support on-the-job learning and development of junior support staff, to ensure they have adequate knowledge of HR systems and procedures required to perform their duties and subsequently can contribute to the provision of effective HR services;
·         Identify evolving needs of the organisation and recommend changes in HR processes and procedures, to support improvements in HR services. Prepare or update existing Standard Operating Procedures within area of responsibility;
·         Analyse and respond to various internal and external queries, to ensure that clients are well informed and that HR team activities are aligned with broader WFP objectives;
·         Review and compile a variety of data and reports on staff recruitment and selection, changes in staff composition (categories/contract types) and staffing levels to support analysis and reporting needs. Collaborate closely with Senior HR Associates on position management and HR system-related actions;
·         Prepare and maintain organizational charts based on staffing statistics reports, closely monitoring and taking into account changes in structure and staffing levels in field offices and functional units in Nairobi. Review best practices and tools on the market in the area of organizational design and make recommendations to the Head of HR for improvement as necessary;
·         Prepare a range of complex HR documentation required for the specific area of work (e.g. employment records for international consultants, tracker of medical cases and summaries of complex cases etc.) ensuring accuracy and meeting established deadlines;
·         Use HR management systems for reviewing, entering and updating a variety of HR data including monitoring various deadlines (e.g. contract expiration and validity of medical certificates and clearances), ensuring compliance with the established deadlines and accuracy of HR data;
·         Any other duties as may be required.
Minimum Qualifications:
Education: Completion of secondary school education, and post-secondary certificate in related functional area. Relevant training in and use of organizational design tool.
Experience:
·         At least five years progressive work experience in the field of Human Resources, including experience in medical benefit administration, medical insurance or similar area. Previous work experience in the UN system/WFP is desirable
·         Practical experience in organizational design in a large and complex organizational context is an advantage
·         Familiarity working with medical insurance providers in a humanitarian context

The Senior Human Resource Associate will work under the direct supervision of the National HR Officer and the overall supervision of the Head of the HR Unit.
The incumbent will be responsible for the following duties:
·         Coordinate and provide a full range of HR management assistance and activities including follow-up actions, resolution of issues and unforeseen situations, to ensure consistency and quality of HR services delivered to clients;
·         Guide HR Assistants on correct procedures in position management and personnel administration to perform their duties and subsequently contribute to the provision of effective HR services;
·         Regularly monitor, oversee and adapt existing HR procedures and collaborate with a wide range of HR stakeholders across the organisation to identify, assess and meet evolving HR support needs;
·         Analyse and respond to a variety of complex internal and external queries particularly in the areas of contracting, position management and staff budgeting, to ensure that clients are well informed and that HR team activities are aligned with broader WFP objectives;
·         Analyse and interpret a variety of data on staff contractual conditions, entitlements, and national staff turnover rates, and provide advice and recommendations to managers along with comprehensive analysis and reports for informative decision-making;
·         Support and deliver a range of HR services allocated by the professional officer in compliance with relevant policies, procedures and processes and manage contracting of national staff;
·         Support the head of the unit in preparation of the annual staff budget for personnel costs and position count. Prompt appropriate actions in HR management systems for the monthly international payroll and ensure funding of international positions;
·         Coordinate with colleagues and support the delivery of on boarding activities for new staff joining WFP, to ensure that relevant processes are followed and the conditions of terms of service are explained and understood;
·         Conduct regular audit of HR systems data for integrity and accuracy and compliance with established deadlines and ensure timely establishment of positions, delimitations of positions and data clean up in HR management systems;
·         Coordinate the recruitment of Short-Term Professional Staff liaising closely with colleagues at the Regional Bureau/ Headquarters and support the head of the unit in reassignment exercises for International Professionals;
·         Oversee the maintenance of confidential personnel records, HR databases in the area of responsibility, to ensure data and files are accurately stored and updated in compliance with the established standards;
·         Apply in-depth understanding of WFP HR operations to ensure their full alignment with WFP’s HR strategy. Drive continuous HR operations improvement and oversees implementation of changes, by maintaining robust review processes;
