Admin Assistant

Our client is a leading ICT Service provider based in Nairobi. They seek to hire a competent Admin Assistant with experience working in a busy office environment.

Responsibilities

·         Facilitate the servicing of Fire Extinguishers and Vehicle extinguishers.
·         Ensure all Utility Bills as listed are paid in time.

·         Office Water
·         Power Meter
·         ZukuA/C
·         Safaricom Postpaid Lines
·         Airtel Postpaid Lines
·         Telkom Lines:
·         Staff Prepaid Lines
·         Access Kenya Internet
·         Ensure outsourced services contracts are renewed in time.
·         Facilitate the repairs of all furniture & fittings
·         Assist in carrying out checks on Screws on Stairs to Gazebo and Old Sales Admin Office for repairs & maintenance.
·         Audit of Office Supplies (Kitchen, Newspaper, Milk, Bread) & report findings to FM.
·         Ensure payment of Nairobi County Government Parking Fee
·         Ensure that all business trade licenses are renewed.
·         Ensure that entire offices and the compound is clean & tidy.

·         Ensure the renewal of licensing and regulation of motor vehicles as per NTSA website.
·         Ensure that outsourced services are done in time Pest control (quarterly), sanitary bins (delivered bi-monthly), seat sanitizers (delivered monthly)
·         Ensure the availability of cleaning supplies and timely General Cleaning
·         Ensure the audit of Kitchen records (milk delivered, bread delivered, number of utensils, etc.).
·         Ensure the availability of Water Purchase for division & main office.
·         Ensure the opening and closing of the offices daily and on time.
·         Assist the FM in Overseeing the organization of internal events
·         Assist the FM with the supervision of all outsourced personnel.

Requirements

·         Undergraduate degree in business administration or finance related course
·         Professional qualification: CPA
·         Minimum of 2 years’ experience in a busy organization
·         Computer literate: Proficiency in word, Excel and power point.
·         Strong analytical and communication skills
·         Team player and agile/proactive to learn
·         Ability to work under pressure with strict deadlines
