Project Development Internship

ACTED launched its Kenya mission in January of 2008 with an emergency assistance program for residents in Nairobi slums affected by the post-election violence. Since 2009, Nairobi has also been the home base of ACTED’s relief operation in South-Central Somalia.
In 2015, ACTED has been delivering emergency as well as long term development programming across the Arid and Semi-Arid Lands and is focussed on Early Warning, Disaster Risk Reduction and Resilience interventions. Main activities have included strengthening its Community Managed Disaster Risk Reduction (CMDRR) and improving and integrating community and County Early Warning Systems (EWS). A special emphasis has been placed on its work with the County Governments and the National Drought Management Authority (NDMA) in order to improve coordination, financing, information sharing, dissemination and learning on emergency preparedness and response.
In 2015, ACTED’s operations in Somalia are focused on Food Security, Livelihood, WASH, and Multi-sector Resilience programming. ACTED has the capacity to deliver immediate emergency programming and longer term development, incorporating Social Safety Net and Disaster Risk Reduction components. ACTED is a leading player in the delivery of cash transfers programming.
ACTED’s interventions aim to support those districts which are underserved, difficult to access, and display high levels of vulnerability. ACTED is operational in Bay, Gedo and Lower Juba Regions. In some of these areas, ACTED is the only INGO present and therefore high security risks are experienced because of Al Shabab presence.

Responsibilities

Grant Management
Contract follow-up
Communicate contractual obligations in particular with regards to reporting deadlines to Programme, AMEU and FLATS team;
When any issue is identified in meeting deliverables in the given timeframe and budget, inform relevant staff in country and seek ACTED HQ Program Department advice on potential solutions that would meet donor rules.
Reporting
·         Participate in and take minutes of kick-off and close out meetings for each project
·         Write quality narrative reports, reflecting the progress and status of projects in a transparent, timely and professional manner, in liaison with ACTED HQ GMU and finance, which will contribute ultimately to steady cash inflow;
·         Work in close relation with AMEU to incorporate AME data (incl. data on input, process, output, outcome and impact indicators, lessons learnt and best practices) in reports and review M&E reports from AMEU;
·         Liaise with FLATS teams when preparing reports, especially with finance to ensure greater coherence between financial and narrative reports by crosschecking the matching of data in the narrative and financial reports;
·         Contribute to the monthly update of the Reporting Follow Up (RFU) and ensure smooth and regular communication with ACTED HQ GMU.
·         Address ad hoc requests from donors in liaison with the CD, Programme and support teams.
Partner Follow-up
Ensure partners report to ACTED in a timely and qualitative manner as per the requirements of the grant agreement.
Internal Coordination
Internal Coordination and Communication
·         Facilitate interdepartmental communication and information sharing from the Base, to the Area, Capital, and even up to the regional and HQ offices by taking minutes of the various ACTED coordination meetings
·         Send meeting minutes in a timely manner to HQ;
·         Inform ACTED HQ GMU and finance of latest developments, opportunities and challenges so that GMU can best advice on the way forward.
Filing
·         File properly contractual project documents both in hard and soft copies;
·         Update regularly the Resource Centre at the office with appropriate and relevant external and internal resources.
External Communication
Contribute to ACTED external communication strategy by feeding regularly ACTED HQ Communication Department with informal updates on projects, a flash news, pictures, articles on projects progress and/or specific events for ACTED communication tools, including, but not limited to, ACTED Newsletter, websites and ACTED Annual Report;
Fundraising
External relations
·         Update regularly a directory of donors, international and local NGOs, other partners and stakeholders;
·         Contribute when required to the reporting to national and local authorities as required by ACTED registration/legal status in country;
·         In the absence of Technical Coordinators, participate in key clusters and/or working group meetings;
Contribution to proposal development
·         Contribute when required to the development of fundraising documents (Expression of Interests/concept notes/proposals) in line with ACTED country strategy and donor requirements and in close collaboration with ACTED HQ GMU (Grant Management Unit) and finance;
·         Liaise with Area Coordinators, Project Managers and Technical Coordinators to ensure that proposals are relevant and technically sound;
·         Incorporate learning from previous interventions (e.g. lessons learnt and best practices) into new proposals;
Contracting
Contribute to addressing in a timely manner all comments by donors on proposals in liaison with relevant staff in country and ACTED HQ GMU and finance;

Qualifications

·         Postgraduate diploma in international relations/political sciences
·         Excellent English writing and communication skills
·         Previous related work experience/knowledge of proposal writing and donor relations
·         Ability to work efficiently under pressure
·         Ability to work in an unstable security environment moving
·         Willingness to work and live in often remote areas under basic conditions
Conditions
Field Intern benefits include:
·         300 USD per month living allowance
·         Coverage of all accommodation, food, and travel costs, a luggage allowance of 50 kg

AME Assistant

Key Duties;

·         Assist the AME officer to prepare and implement monitoring and evaluations plans to measure project progress and impact indicators
·         Assist in planning and conducting field level data collection and project monitoring using different techniques including household surveys, market data collection, focus group discussion, key informative interviews, etc.
·         Conduct training and supervision of enumerator teams , including checking questionnaires for reliability and consistency
·         Support the implementation and evaluation of the feedback response mechanism
·         Conduct quantitative data entry and recording of qualitative field notes and conducting quality checking and cleaning of data
·         Support analysis of qualitative and quantitative data, writing reports to inform programme development and implementation
·         Improve AME_Unit process and procedures including data collection skills, data quality, analysis and report writing
·         Develop case studies, success stories and lessons learnt papers
·         Perform any other task assigned by the manager.

This position will require the individual to perform transparent, true and fair cash management for ACTED projects in Mogadishu

Duties and Responsibilities

·         To perform petty cash management
·         To perform cash flow follow-up.
·         To perform transfers and exchanges of money if needed.
Specific responsibilities include:
Accounting
·         Responsible for advance/loan follow up and procedure compliance at Area Level
·         Responsible for Excel Book entries according to ACTED Standard entry grid
·         Responsible for cross check of allocation as per purchase order signed by Fin/Admin Officer
·         Responsible for accounting codes accuracy in cash/bank books and payment vouchers according to ACTED Standard entry grid
Cash
·         Responsible for cash flow level at Area level (safe and petty cash box)
·         Responsible for cash transfer confirmation at Area Level according to ACTED procedures (Capital – Area ; Area – Base)
·         Responsible for daily Cash Counts
·         Responsible for preparation of weekly cash counts for Fin/Admin Officer approval (cash checking statement)
·         Responsible for preparation of monthly cash counts for Fin/Admin Officer and Area Coordinator approval (cash checking statement)
Payment Procedure
·         Responsible for payment execution at Area Level (according to ACTED payment procedures)
·         Responsible of preparing payment voucher for approval by Finance/Admin Officer and Coordination before payment is processed
·         Responsible for link with Logistics on suppliers relation (payment oriented)
Filling:
·         Responsible for 1St check of Area and Base office vouchers (monthly basis)
·         Responsible for follow up, filing and labelling of voucher on monthly basis. Responsible for photocopying the finance vouchers and labelling as per ACTED standards
Qualifications/Skills Required
·         Bachelor degree or a higher diploma in Accounting, Business Administration, Finance or a related field.
·         A minimum of one year relevant experience, preferably in a similar position in an NGO.
·         Clear understanding of humanitarian principles and activities.
·         Sound understanding/experience in financial processing and management
·         Excellent skills in Microsoft Word, Outlook, and Excel.
·         Strong organizational skills and meticulous attention to detail.
·         Excellent interpersonal skills and demonstrated ability to establish effective work relations at all levels.
·         Proven ability to prioritize tasks, meet deadlines and work with limited supervision, pro-active and a good team-player
·         High level of integrity and honesty
·         Being conversant in Somali language will be considered an advantage
