Office Assistant Internship Job in Kenya

Job Title: Office Assistant - Internship
 
Main purpose of this position is to provide shipping, reception and general administrative support to the office
 
This job is located in Mombasa. Residents of Mombasa county are encouraged to apply.
 
Duties

 

1. Shipping Support
·                     Opening new job files and tracking shipments
·                     Opening new files in the system – obtaining file reference numbers
·                     Keep into book all records into their respective files and make sure all new shipping files have all the required documents as per the respective consignment. Advising the HoD shipping as well as the Team Leader, Shipping and Administration.
·                     Collect shipping charges, organise payment and processing delivery order from the various shipping lines
2. Administrative Support
·                     Make photocopies and scan documents as assigned
·                     Ensure efficient filing of documents as instructed
·                     Ensure refreshments for staff and visitors are available
·                     Occasionally, order meals for staff/visitors especially during lunchtime working sessions.
·                     running other errands outside the office eg collecting /delivering documents to various offices.
·                     Recording files for shipments cleared, closing the files and arranging then on the storage shelves.
·                     Assisting in retrieving files from their storage when needed.
·                     Typing of cfs MPROS and also assist in typing guarantees
·                     Receive deliveries, record and direct them accordingly
·                     Monitor outgoing couriers, mail and sign for both outgoing and incoming deliveries
·                     Carry out regular and thorough cleaning of the office and kitchen
3. Running other errands outside the office
·                     Collecting /delivering documents to various offices
·                     Paying Office bills
·                     Any other job as allocated by management
Qualification
·                     Certificate in clearing & forwarding related courses
Skills and competencies
·                     Excellent Interpersonal skills
·                     Excellent communication skills
·                     Information management skills
·                     Basic understanding of Shipping, Logistics, and Clearing & forwarding
·                     Fair knowledge and understanding of Mombasa city limits and its environs
·                     Attention to detail
