Our client is a small Real
Estate firm based in Nairobi that seeks to hire an Administrative
Assistant.
Responsibilities
- Provide
administrative duties for the office
- Handle
secretarial duties such as filing, making calls and collating all
documents
- Develop and
maintain a filing system, and create an updated database for all
stakeholders
- Ability to
make quotations and drawings
- Manage
correspondence with employees, and all stakeholders by directing incoming
and outgoing calls, and responding to emails in a timely manner
- Ensure the
receptionist area is always clean and attended to at all times
- Manage daily
office operations
- Organize
office meetings, attend the meetings and prepare minutes as well as manage
Director’s diary
- Manage general
office hygiene
- Receive and
welcome clients and guests and act as the focal person for both
internal and external clients
- Assist in
preparation of progress reports to clients
- Order office
supplies at the most cost effective prices and research for new suppliers
- Make travel
arrangements for all staff members.
- Any other
duties as may be required
Education and Experience
- A Bachelor’s
degree in business related Course (Project Management will be an added
advantage)
- KCSE
Certificate with a minimum of C in English
- Fast typing skills
/ essential secretarial qualifications
- Work
experience in a Construction / Real Estate firm
- At least 3
years continuous work experience in administration
- Practical
working knowledge of MS-Office
