Finance & Grants Officer
Job purpose:
He/ she will participate in proposal
development, budgeting, donor financial reporting and grants management.
Key responsibilities
Finance Management
·
Review and verification of financial
transactions/activities/documentation for accuracy, appropriateness and
completeness and ensure full compliance of financial services and transactions
with donor rules, regulations, policies and recording and reporting systems.
·
Prepare projects’ monthly cash flow
projections MCMP ensuring timely requests for replenishment of the project bank
account.
·
Prepare bank reconciliations, debtors
and creditors reconciliation.
·
Timely posting of data on Microsoft
Navision accounting system.
·
Ensure proper book keeping maintaining
accounts payable and accounts receivable.
Grant Management
·
Provide support in monitoring
adherence with the terms and conditions of grant agreements.
·
Ensure grants awarded are in
compliance with SIDA/USAID and other donor regulations.
·
Assist in the review and updating of
operational policies and procedures for procurement and contracts/grants
management
·
Provides support on contracts and
subcontracts management from the pre-solicitation stage through completion or
closeout.
Budgeting and budget monitoring
·
Take part in proposal development and
support the team in budget preparation.
·
Ensure proper budget implementation
to ensure adherence to budget lines.
·
Maintain a 4% budget variance.
Reporting
·
Prepare projects’ budget variance
reports and submit to the Finance and Grants Manager by 26th of every month.
·
Prepare monthly financial reports
(MFRs) for the project and submit to Finance & Grants Manager by 2nd of
every month.
·
In accordance with donor
requirements, create or maintain procedures for capturing and publishing
monthly, quarterly and annual project technical and financial reports.
·
Ensure reports are sent to the donors
on a timely basis.
Audit and Audit Processes.
·
Facilitate donor reviews and resolve
any queries arising from the review.
·
Facilitate annual project audits for
the region where applicable.
·
Prepare audit schedules for the
region’s projects in preparation for the annual organizational audit, ensure
completeness of all supporting documentation and facilitate resolving of any
queries arising from the audit.
Qualifications
·
Bachelor’s degree in
Finance/Accounting or other business related degree.
·
Completed CPA (K)/ACCA.
·
Certificate in Project Management is
desirable.
·
5 years working experience in a SIDA/
USAID funded project with a minimum of 2 years in a supervisory or management
position.
·
Ability to set priorities, organize
time efficiently and work independently on several tasks simultaneously.
·
Demonstrated ability to work in a
team with other finance, grants and accounting staff.

Project Associate Job Key
Responsibilities
Project implementation and training.
·
Implement Evidence Based
Interventions targeting Adolescent girls and young women.
·
Assist in office administrative
roles, particularly pertaining to records, payments and other responsibilities
·
Responsible for overall management of
the adolescent safe spaces at the ward level
·
Ensure that the safe spaces are
equipped and stocked with DREAMS commodities, it is safe and that is branded
accordingly
·
Ensure the EBI’s namely Healthy Choices,
SHUGA, SASA, FMP and promotive interventions Condolympics are implemented to
reach the targeted AGYW
·
Coordinate the work of mentors and
facilitators in the wards and keeping records of their activities and work
plans
Project Monitoring& Evaluation
·
Implement the data collection tools
as provided by the donor and ICL monitoring and evaluation policies
·
Consolidate project qualitative and
quantitative data
·
Maintain data records
·
Ensure evaluations of trainings and
project activities are conducted, reports written and submitted to the
·
Assistant Project Officer.
·
Assist in preparing activity reports
and monthly reports in time for team reflection meetings.
Project Communication
·
Identify and develop project human
success stories
·
Work with project team to develop
picture speaks and newsletter for various activities
·
Work with the Communication Officer
to develop project communication materials
·
Work with the Communication Officer
in project and organization brand enhancement
Qualifications
·
A minimum of Bachelor’s Degree in
Social Sciences, Community Development or related field
·
Must be Trained Facilitator or
Trainer of Trainers in at least 2 EBIs.
·
A minimum of one year of professional
experience implementing EBI’s.
·
Should be Computer Literate and
proficient
·
Highly motivated to work in a
high-performance environment
·
Willingness to learn, tackle
challenges and seek creative solutions in everyday assignments.
