Purpose of the Job:
 Under the supervision of the County Coordinator, ensures efficient logistics support services to county warehouse and stores besides supervising Storekeeper. They are responsible to ensure that the operational IRS operational plan is implemented in their specific operational sites.

Programme support:
  • Provide overall oversight, leadership, and management of IRS activities  at operational site
  • Responsible for overseeing all administrative operations at the operational site.
  • Ensure proper coordination of mobilization and spray operations activities in the site as per site operational plans
  • Provide oversight on Property management and inventory control activities at the operational site.
  • Work closely with county Coordinator and Environmental Compliance Officer,  in strengthening environmental compliance procedures and monitoring of IRS activities
  • Ensure the team leader’s summary is recorded in the spray performance Tracker at the operational site on daily basis.
  • Collect and deliver all daily spray records to the data center on daily basis.
  • Ensure vehicle log sheet is completed accurately by drivers and duly signed daily.
  • Oversee the collection of used insecticide containers and ensure sorting, transportation and storage of same in county central stores.
  • Ensure that timesheets are signed and availed to the finance assistant on time
Required qualifications and Experience:
  • Training in logistics, procurement, supplies and management.
  • Bachelor’s degree in the relevant field preferred
  • At least 2 years’ experience plus 6 months supervisory experience in handling basic Logistic and procurement  issues in an established organizations
Knowledge, Skills and Abilities:
  • Additional professional training in logistics management or any other relevant field.
  • Demonstrated experience using Microsoft Office Suite applications including Excel, Word, and Power Point preferred.
  • Ability to understand and interpret policies and procedures as well as the ability to apply them with consistency in a variety of circumstances.
  • Good communication skills including spoken and written English and Kiswahili is preferred

Overall Purpose: To oversee the management, receipt, delivery, and inventory control of items for the Operation Site store.

Specific Responsibilities


  • To oversee daily operations of store and maintain inventory system at proper levels.
  • To ensure proper storage and identification of all items.
  • To inspect commodities received in the Operation store to verify quality and quantity of items delivered.
  • To keep track of receipts, records and withdrawals of all IRS related commodities in the Operation store.
  • Follow up on supply requests from Warehouse and liaise with the Warehouse Manager to monitor progress.
  • Coordinate with the security guard on tracking movement of persons in the stores.
  • Ensure proper material and equipment storage to avoid damages and ensure rotation of short shelf life items.
Required qualifications and Experience:
  • Completion of certificate or diploma level in relevant field.
  • At least 6 months experience working as a stores assistant desired.
  • A certificate of good conduct may be required.
Knowledge Skills and Abilities:
  • Good communication skills including spoken and written English and Kiswahili, local languages are an added advantage.
  • Additional professional training in procurement and logistics management preferred
  • Knowledge of USAID procurement policies and regulations a plus.
  • Excellent knowledge of Microsoft Office and procurement software;

Role Profile

Major purpose of the position: The major purpose is to support the County coordinator and Project Accountant in collecting the required information from county sites for processing payment of sub-county spraying staff besides observing proper accounting procedures, systems and internal controls in district field stations.

Responsibilities:
  • Perform general clerical duties, to include but not be limited to photocopying, scanning, faxing, filing, and mailing.
  • Assist in verifying and processing of payments
  • Provide office administrative support including organization and facilitation for internal meetings, drafting agendas, and taking minutes;
  • Maintain hard copy and electronic versions of a project archive, including contract and subcontract documents, client approvals,  consultant documents, travel files, procurement files,  project deliverables, project reports , and minutes of meetings.
  • Manage and document correspondences between project offices, the home office, the client, other partners, and stakeholders.
  • Answer incoming telephone calls, take complete and accurate messages for people who are not available, and ensure they receive the messages.
  • Overseeing day-to-day office administrative functions
  • Assist in procurement, storing and distribution of office supplies.
  • Make logistical arrangements for project staff traveling out within side their region.
  • Prepare and send pouches to central office as needed.
  • Performing any other duties as assigned by the supervisor.

  • Diploma or Bachelor’s Degree in Finance, Procurement, Management, Business, or other relevant field.

Role Profile

Responsibilities:
  • Assist in developing a database of all field staff involved in the district spraying
  • Compile team member payroll data and other records to ensure the timely and accurate disbursement of payments; calculate wages, and pay adjustments in payroll process.
  • Ensuring that the daily work logs are completed and submitted by team leaders and supervisors.
  • Obtains and maintains personal information from all county spray teams which is used in administering their pay e.g. ID number, telephone numbers etc.
  • Assist in review of the financial data from field stations by verifying the accuracy of information/support documentations and reasonableness of costs.
  • Organize the financial document filing system for the counties.
  • Provide high level of customer service to internal and external stakeholders of the organization
  • Maintain strict confidentiality as it relates to all information.
  • Performs other related duties as assigned or requested.
Required minimum qualifications, skills and abilities
  • Completion of secondary education. Post-secondary qualification at diploma level in a financial administrative or related field required.
  • Holders of Bachelor’s degrees and CPA K preferred.
  • Two (2) years of experience in finance, budget, accounting, administrative services or related area with 1 year experience in the same capacity supporting a donor funded project with strict adherence to financial management policies and procedures.

  • Plan and organize daily, weekly, monthly and quarterly projections for data management needs.
  • Verifying data and ensuring entries are correct daily.
  • Ensure that data from the field captures defined variables.

Purpose of the Job: Under the supervision of the County Coordinator, support the purchase and distribution of supplies and commodities for the project besides ensuring efficient logistics support services to County Operation sites stores besides supervising Storekeeper. 

Programme support:
  • Provides logistical support for  project activities, including spray operations, transport, events such as workshops and meetings, etc.
  • Assists in managing the inventory, storage and timely disposal of used and irreparable materials, under the direction of the Program & Logistics Coordinator

Role Profile

Overall Purpose: The Community Mobilization/IEC Assistant will assist in coordination and implementation of project related community mobilization activities in the County under the supervision of the County Coordinator and in coordination with the Community mobilization and IEC specialist. 

S/He will facilitate all community mobilization, branding/marking and communication activities in the said County working closely with the local authorities and leadership to position AIRS pre and post spraying activities.   

Specific Responsibilities:
  • Ensure strengthened partnerships and collaboration between Sub County Partners and other like-minded partners working in the area.
  • Maintain an inventory of IEC materials received and issued. Make timely, appropriate requests to ensure constant supply of material needed for IEC activities.
  • Maintain proper records on County IRS Community mobilization and IEC activities.
  • Participate in community surveys that are to be conducted.
  • Conduct quality control and assurance checks to ascertain community mobilization and communication work is done to agreeable standards.
  • Provide updates and analysis of key developments in targeted thematic areas.
  • Organize and participate in community sensitization activities.
Required qualifications and experience:
  • Vocational training plus one and a half years’ experience in the area of community development, social sciences or other related discipline. Bachelor’s degree is preferred.
  • Must have had two (2) years supervisory experience preferably in monitoring and community mobilization.
Knowledge Skills and Abilities:
  • Proven experience managing IEC and community outreach /mobilization activities for local health programs is essential, experience with malaria prevention programs preferred;
  • Excellent interpersonal skills and ability to work as part of a team
  • Conversant and able to communicate in the local language, Kiswahili and English.
  • Advocacy related skills would be an added advantage.
  • Ability to work under pressure and independently with minimum supervision.
  • Ability to train on heath related issues.
