A creative photography and design
agency based in the Kilimani area is recruiting for an Office Administrative
Assistant.
Since inception, they have
differentiated themselves by providing high end photography and design services
for both corporate organizations and individuals.
Their services cover a wide spectrum
of concepts from family portraits to wedding, commercial shoots, model
profiles, branding and graphic design.
The Administration Assistant will fundamentally be the bridge between management & the team and also clients & management.
Duties and Responsibilities
Reporting
- The team will provide feedback on pending work
(individual, corporate & schools) to the AA then communicate the same
to Management
- Ensure all project deadlines are met and escalate
to Management when/if necessary
- Prepare reports for Management: Photography
Club reviews (weekly), Pending Work (daily), Pre-qualification reports
(when they arise)
- Preparation and submission of monthly VAT
returns to Management
Office Management
- Completes operational requirements by
scheduling and assigning administrative projects; expediting work results.
- Maintain the filing system of the company such
as hardcopy, softcopy that are related to the job
- Prepare all tender prequalification documents
- Maintain records on Photography Club payments.
This also includes following up on payments through the Club Patron
- Handle all Corporate Communication inquiries
- Provide HR support and handle enquiries from
employees.
- Maintain office diary (bookings & project
deadlines)
- Maintain supplies inventory by checking stock
to determine inventory level; anticipating needed supplies; placing and
expediting orders for supplies; verifying receipt of supplies.
- Contribute to team effort by accomplishing
related results as needed
- Ensure all the monthly bills are paid on time.
- In charge of preparing all the
prequalification documents.
- Organizing daily errands and maintaining petty
cash
Requirements
- Degree or Diploma in business administration
or marketing
- Fluent in English
- Minimum 4 years experience as an
administrative assistant
- Mature lady
