The European Union Delegation to the Republic of Kenya is looking for an
 
Administrative Assistant / Logistician
 
We are: The European Union (EU) is an economic and political partnership between 28 European countries. 

It plays an important role in international affairs through diplomacy, trade, development aid and working with global organisations.  

Abroad, the EU is represented through more than 140 diplomatic representations, known also as EU Delegations, which have a similar function to those of an Embassy.

The EU Delegation in Nairobi is one of the world’s largest European Union Delegations.

The EU Delegation to Kenya ensures the representation of the EU to Kenya, analyses Kenya's politics, economics, social, development and foreign policies and implements EU development aid while promoting and defending the values and interests of the EU.

We are looking for:
 An Administrative Assistant / Logistician to provide administrative and operational support in particular in terms of Housing and Infrastructure in both Delegation Kenya & Somalia.

Main Responsibilities
  • Assessing housing needs and housing conditions and making sure that the best use is made of existing resources.
  • Preparation of the housing file including all elements of the housing convention.
  • Assist in the management of the infrastructure budget related to housing.
  • Preparation of all Purchase Orders related to housing and security installations.
  • Establishment and maintenance of housing files.
  • Coordination and follow-up with relevant official bodies concerning water, electricity and other housing issues.
  • Focal contact person for the Delegation houses to advise/recommend to the occupants and/or the landlords solutions to existing housing problems. Assisting/giving guidance on maintenance works.
  • Carrying our regular inspections of the accommodations.
  • Assist in the Security Radios maintenance and manage inventory.
  • Back-stopper in handling of the inventory management.
  • Back-stopper/assisting in the logistics of the office building
  • Any other tasks as instructed by the Head of Delegation and/or the Head of Administration
Eligibility Criteria
  • Diploma in Business Administration and/or professional courses in Property management / Infrastructures / Logistics matters (eligibility).
  • A minimum of 5 years’ working experience in logistics of which at least 3 years in property/facilities management (eligibility).

Other Qualifications
  • Experience in an International Organisation or Diplomatic Mission an added advantage.
  • Excellent knowledge of logistics.
  • Excellent knowledge of administrative, financial and control procedures.
  • Knowledge of EU working administrative procedures and systems an added advantage.
  • Excellent knowledge of English - written and spoken (main working language).
  • Excellent IT knowledge in MS Office and skills in document management (filing/archiving).
  • Excellent ability to develop and maintain effective network of contacts with suppliers, landlords and colleagues.
  • Ability to deal helpfully and courteously with people.
  • Excellent capacity to identify a problem and provide a solution.
  • Ability to focus on priorities, to monitor and evaluate progress and to meet deadlines.
  • Open, flexible personality; excellent ability to perform duties with speed and accuracy within a given deadline.
  • A high degree of integrity and the ability to deal with confidential information is required.
The position is based in Nairobi for an unlimited duration subject to three- month probation. 

As an indication, the monthly basic salary starts at KShs. 165,464/- (subject to local tax law).

The position is open to nationals and residents of Kenya with a valid work permit (compulsory).
