Administration Assistant, Nairobi - Kenya
Responsible
to: Conservation
Agriculture Program Coordinator with a technical relationship to the CFGB and World Renew Finance
Managers.
Status: Term, 1–5 years

Purpose
of the Position: This
position emerges within a five year Conservation Agriculture (CA) program in
East Africa funded by the Department of Foreign Affairs, Trade and Development
(DFATD) of Canada.
This
position is being hired and hosted by World Renew, with the incumbent then
seconded to the Canadian Foodgrains Bank (CFGB).
It is
responsible for high level of financial accountability, as well as day to day
office management.
Major Duties and Responsibilities
R1.
Processing of Financial Transactions
- T1.
Verify all payments for accuracy and budget provisions before submission
for approval.
- T2.
Initiate payments and post transactions in the Accounting system.
- T3.
Maintain capital (asset) items inventory.
- T4.
Handling all project daily cash transactions and keeping petty cash float.
- T5.
Be involved in the procurement of standard items and consumables.
- T6.
Assist in the handling of any insurance matters.
R2. Banking
- T1.
Banking funds in the right/designated accounts.
- T2.
Prepare monthly bank and cash reconciliations and follow-up on outstanding
issues.
R3. Financial Records
- T1.
Maintain up to date financial records in respect to financial
transactions.
- T2.
Address issues arising from financial transactions without undue delay.
- T3.
Make sure that accounting documents are securely kept.
- T1.
Compile annual returns and forward the same to the relevant authorities.
R4. Financial Reporting
- T1.
Prepare financial reports as expected by the various stakeholders and also
for audit purposes.
- T2.
Post transactions into ledgers
- T3.
Visit the Partners Account department as necessary to verify the records.
R5. Financial Management
- T1.
Assist in the preparation and monitoring of budgets with all the relevant
stake holders.
- T2.
Maintain fixed asset register and ensure that assets are adequately
insured.
- T3.
Provide support in the coordination of external audits.
R6. Administration
- T1.
Provide any administrative support required by the Program Coordinator and
support to various Member/partners as approved by the Program Coordinator.
- T2.
Plan and coordinate requested meetings (including workshops) and take
minutes in the meetings.
- T3.
Arrange regional logistics for CA program related visitors and groups
(with field staff, partners and communities)
- Maintain
a database of staff related reports, work plans, assignments of the staff
- Carry
out any other duties and responsibilities which may be assigned by the
Program Coordinator from time to time.
The position makes recommendations to the supervisor for
consideration and appropriate action.
Knowledge,
Skills and Abilities:
Level
of Education:
- Bachelor’s
degree in accounting, finance, business or related field.
Specialized Training / Professional Qualifications:
- Minimum
CPA Part 3.
Other competencies:

- Ability

Job Experience:
- Minimum
of 3 years’ experience in an Accounting / Finance related role
