Job Brief / Purpose: Will be responsible for providing administrative support by ensuring efficient operation of the office.  

Will support regional manager and employees through a variety of tasks related to organization and communication. will communicate via phone and email ensuring that all administration tasks are completed accurately, delivered with high quality and in a timely manner.

Key Responsibilities / Duties
  • Maintains workflow systems by implementing and developing reporting procedures.
  • Creates and revises systems based on procedures by analyzing record keeping systems, forms control office layout.
  • Performs administrative and office/clerical support including mailing, scanning, data entry and copying activities while maintaining electronic and hard copy filing system  for multiple supervisors.
  • Resolves administrative problems by gathering data from supervisors, coordinating preparation of reports and analyzing data.
  • Maintains supplies/resources inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies.
  • Attend to visitors and assist other staff in the office with their enquiries
  • Operate a range of office machines such as photocopiers, computers and faxes
  • Distribute correspondence memos, letters, forms and dispatch outgoing mail
  • Assist in the preparation of regularly scheduled reports and invoice processing
Academic and Professional Qualifications:
  • Diploma in Public Relations
  • Proficiency in MS Office
  • Knowledge, Experience and Skills
  • Proven administrative or assistant experience
  • Knowledge of office management systems and procedures
  • Excellent time management skills and ability to multi-task and prioritize work•Attention to detail and analytical skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills
  • able to work methodically, accurately and neatly
  • Excellent oral and written communication skills
  • Able to work as part of a team
  • Ability to prioritize and good data analytical skills
